Main purpose of job:
To support Corporate Services team and account department in their day to day task
We reserve the right to review, revise or amend the roles and responsibilities from time to time reflecting the changing needs of business.
Roles and responsibilities / what will the jobholder be expected to achieve:
Accounts
- Ensure compliance with financial procedures including correctly accounting for spend and reducing the risk for fraud.
- Support Finance Manager in preparing for end of month account closing and completion of Network Post Accounting spreadsheet.
- Timely handling of Embassy invoices, checking invoices for accuracy before payments through the FCDO’s payment system.
- Managing cash and bank account payments.
- Responsible for cash box.
- Prepare debit memos and keep track on payments on monthly basis.
- Bank run for any official reasons.
- Checking invoices for accuracy before payment.
- Assist in maintaining electronic and paper records of Accounts.
- Keep a track of invoices, utility bills, other monthly bills and rental agreements.
Procurement
- Checking invoices for accuracy before payment
- Acts as requisitoner and receiver for purchasing and supplier maintenance processes
- Assist with compliance e.g. setting up new suppliers and reviewing existing supplier lists
- Receiving of goods and services
- Point of contact for all other Embassy staff on procurement processes
Payroll
- Process overtime payable to staff.
- Process monthly salaries of Country Based Staff (CBS) for sign off by DHM.
- Distribution of pay slips, payroll for CP team, and other accounts related tasks.
Cover for Finance Manager
- Forecasting and budget management during Finance Managers absence.
Other miscellaneous tasks
- Maintain proper record of all staff medical claims (IP and OP) and liaise with Insurance Company.
- Coordinate Vaccine programme for staff.
- Manage record of transactions through GPC with appropriate approvals for audit purposes.
- Assist in maintaining record of mobile sets / sims issued to staff.
- Maintenance and purchasing of office and gym machine, proper upkeep of gym.
The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required. The job description may be reviewed to meet changes in business needs.

Essentials of Arrival
- Graduate
- 2 years’ experience in managing financial accounts, budget/forecast and procurement etc.
- Excellent IT skills and office administration skills, with good knowledge of Microsoft Office applications, particularly MS Excel, which will be used for recording data and producing reports.
- Good written and spoken communication. Able to express ideas and messages clearly and concisely, both orally and in written communication.
- Excellent customer service skills. Demonstrates courtesy and consideration in dealing with internal and external contacts.
- Should be a team player. Resourcefulness in solving problems and demonstrate good judgement.
- Ability to work on own initiative. Ability to multi-task and respond quickly to meet multiple and changing priorities.

For BHC candidates, the Country Based Staff BHC Terms & Conditions will apply. For other than BHC candidates the basic salary will be PKR 131,598 per month. This salary is non-negotiable.
‘Please note that the current salaries are being dollarized and processed in USD (using a fixed corporate exchange rate from November 2022) to provide cushion against the current external market conditions. This is a temporary measure and is subject to review at regular intervals. The payroll will revert to local currency processing once the external market conditions are normalised.
