Main purpose of job:

The main purpose of this job is to provide services on specified Protocol matters relating to work the British High Commission is undertaking in implementing and exercising good Protocol policies and practices.

The job holder will be required to work on the aspects of Protocol work within the British High Commission, in particular diplomatic and third country visa facilitation, Visits’ No Objection Certificates, Accreditations and to cover for other team members as necessary.

The job holder must be a good communicator and have excellent organisational, prioritisation and coordination skills in order to meet the complex operational requirements to enable the British High Commission to function. He/she will work as part of a team but must also be able to work independently and to engage effectively, developing excellent working relationships with a wide range of individuals and stakeholders.

Roles and responsibilities / what will the jobholder be expected to achieve:

 Vehicle related responsibilities:

  • Arrange prior permission for importing of our official vehicles, including preparing supporting documents with Note Verbale.
  • Arrange Vehicle Export permission by providing Note Verbale, copy of blue book, copy of import/purchase permission.
  • Vehicle Purchase permission for our diplomats. Need to provide all supporting documents with Note Verbale.
  • Vehicle Sale permission of our official vehicle. Need to provide all supporting documents with Note Verbale.
  • Vehicle Registration: Need to provide all supporting documents with Note Verbale.
  • Filling out registration form and submitting Account Payee Cheque for vehicle number plates.
  • Re-validate vehicle registration: Prepare Note Verbale and send to Ministry of Foreign Affairs with original blue book.
  • Vehicle De-registration: Need to provide NV, Sale and purchase permission, original blue book, number plates, VAT and TAX it non privilege buyer.

Other customs job:

  • Prepare Note Verbale for visit of our colleagues to outside Dhaka.
  • Collect exemption certificate to import household items, heavy baggage, Diplomatic ID Cards, visa renewal/ transfer, arrival notification from Ministry of Foreign Affairs.

Airport Protocol Responsibilities:

  • Prepare letter to get tarmac access permission at the airport.
  • VIP lounge booking,
  • On arrival visa invitation letter
  • Authorisation letter to clear diplomatic bags from airport
  • Arrange other county visas for UKB colleague.

Airport Security passes:

  • Process airport security passes for our British High Commission colleagues.

 DEDO (Duty Exemption and Drawback Office):

  • Process paperwork to get refund of government VAT.

HERA:

  • Raise Corporate Services Requisitions
  • Upload Invoices for payment
  • Provide HERA support to our colleagues for GPC/CCC/i-expenses reconciliation.

Government Procurement Card (GPC) payment:

  • Make payment through GPC to procure items from Amazon, XMA, Banner and local suppliers.

Medical Insurance:

  • Maintain all information on the no. of staff and eligible family members for medical insurance premium calculations
  • Take necessary action for opening Purchase Order for Medical and Life Insurance contracts
  • Provide support to our S-Band colleague for submitting paper and online claims.

Stationary Store:

  • Supervise management of Stationary Store
  • Prepare and monitor yearly Stationary budget
  • Check stock balances and make necessary purchases locally and from overseas.

Uniform:

  • Open purchase order and support Team Leaders with procurement of uniforms for Security Guards and High Commissioner’s residence staff.

Telephone Tree:

  • Update telephone tree for British High Commission Dhaka

Resources managed (staff and expenditure):

 1 S1 Grade Storekeeper   

Language requirements:

Language:  English   

Level of language required:  Good    

A language test will be administered

Learning and development opportunities (and any specific training courses to be completed):

Training will be provided on technical issues and post specific security issues once appointed.

Essential on arrival: 

Language: Good level of English

IT Skills:  Basic computer skills (MS Word, Outlook, Excel, Oracle)

Education: Minimum of an undergraduate degree in any discipline

Desirable:

  • Experience working in an international organisation or diplomatic mission.
  • An IELTS score of 6 or above

For British High Commission (BHC) candidates, the Country Based Staff Terms & Conditions will apply.

The minimum salary for the grade is all inclusive of BDT 85,408 per month.

The British High Commission offers a competitive remuneration package, including salary, benefits, a leave entitlement, Health Insurance and relevant L&D opportunities.

Please note – Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

Employment offers are subject to successful clearance of pre-employment and security checks.
