Main purpose of job:
The British Embassy Santiago is seeking a resourceful and diligent individual to take up the role of Estates Manager. The Estates Manager is a key player in the everyday functioning of the Embassy, and will manage the Estate and Estates team, including staff and contractors. They will lead on estates projects, operations and supplier management to ensure a safe and compliant platform for all staff and will be responsible for health and safety policy and operations.
Roles and responsibilities:
Estates Management 40%
- Lead and manage local estates teams, operations, supplier performance, contracts and maintenance activity.
- Maintain excellent communication with the residents of the estate and ensure that their wishes are properly considered in the planning and implementation of maintenance and projects.
- Communicate regularly and effectively with the Residence Manager.
- Ensure estates activity is in line with the local staff charter.
- Monitor and forecast estates budgets and expenditure.
- Update local leadership team on estates matters, escalating as required.
- Oversee local management of estates systems and data.
Governance 20%
- Plan, measure and monitor estates performance against set targets, preparing reports as required.
- Ensure that a proactive risk management approach is taken to all work, ensuring compliance with UK and local standards.
- Prepare and respond to any audit and assessment requests, ensure compliant record keeping.
- With regional procurement hub, tender, manage and oversee all estates procurement and suppliers to ensure service level agreements are met.
Health & Safety 15%
- Maintain a safe, compliant and supportive working environment for all staff and diplomatic families.
- Oversee health and safety activity, owning policy, guidance and monitoring standards.
- Act as fire safety manager.
- Lead on sustainability plans to meet global targets.
Technical 10%
- Plan, manage and oversee estates projects, preventative and reactive maintenance using the forward maintenance register and global account managers accordingly.
- Provide local technical expertise, escalating to Regional Technical Leads where required.
Housing 10%
- Oversee the sourcing of residential properties, lead negotiations and make recommendations to the Post Housing Committee (PHC).
- Play active role in PHC responding to all Estates queries and concerns.
Team Support 5%
- Support other members of the corporate services team as required.
- Oversee estates contingency plans and act as coordinator in crisis situations.
- Deputise for the Corporate Services Manager (CSM) during periods of absence.

- At least 3 years’ experience in Estates management.
- Excellent customer service skills.
- Experience in managing maintenance teams.
- Resilient mindset: be able to deal with pressure and work flexibility to deal with competing demands.
- Project management skills and the ability to manage budgets and expenditure.
- Excellent communication skills.
- Proficiency in Microsoft applications (Excel, Word, etc.).
- At least Spanish C1+ (fluent) and English B2+.
- Must have legal status to live and work in Chile in your own right, from time of application.

Learning and development opportunities (and any specific training courses to be completed):
All Embassy employees are required to participate on mandatory training when they start in the role. The selected candidate will also participate in role-specific training in health and safety and use of Estates management platforms.
Meals allowance: 150,000 CLP
Transport allowance: 69,000 CLP
Employees who are not liable to pay local income tax on their Mission salary, e.g. some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.

Working patterns:
Monday to Thursday: 09:00 – 17:30 with half an hour for lunch from 13:00 until 13:30. Friday: 09:00 – 13:00.
The Embassy has a flexible work policy that allows minor modifications to the work patterns, but the candidate is expected to work at the office at least three full days a week. This role may require occasional late/weekend working hours in exceptional circumstances.
