Main purpose of job:
To provide support to the Defence Section ensuring the successful delivery of the UK/India Bi-Lateral Military Engagement programme. This will involve liaising with numerous agencies both international and in-country. This role will include being the Executive Assistant to the Defence Adviser which is a varied role and essential part to the efficient running of the Defence Section.
As part of this role you will be responsible for the day to day running of the Defence Section Imprest Account and all financial related aspects of the Defence Section.
In addition, you will provide support to Defence Section staff with inward and outward visits, travel arrangements and all payments related matters.
This role includes being the Executive Assistant to the Defence Adviser. This includes managing their outer office, diary, house staff and other assistance required by the DA.
We reserve the right to review, revise or amend the roles and responsibilities from time to time reflecting the changing needs of business.
Roles and responsibilities / what will the jobholder be expected to achieve:
Financial (50%)
- Calculations of salary/overtime payments for the Defence section Country Based staff
- Process monthly returns by collating vouchers, invoices, bank statement, un-presented cheques, cash and cheque balance
- Maintain Imprest cash office
- Support to all Defence finance matters as required
- Assist Defence Section personnel in management of all expense administration
Administrative / Executive Assistant (50%)
- Managing the Defence Advisers outer office
- Managing the Defence Advisers diary
- Assist with maintaining the Defence Sections contact database
- Assist with Defence Section visit programmes
- Support wider Defence activities as required, e.g. large delegations or events
Resources managed (staff and expenditure):
Nil staff but managing the Defence Imprest expending £4,000 in Rupees per month
Learning and development opportunities (and any specific training courses to be completed):
There are opportunities for online training via the MOD Intranet.

- The Defence Section exists to support both MOD and the High Commissioner’s objectives. It is a busy office with a mature, collaborative and collegiate approach. Flexibility is essential to the success in this role.
- The role will involve access to and handling of classified or sensitive commercial information. Therefore, applicant must already hold a minimum of the UK’s SC level of clearance or be able to achieve it. Because of the security clearance requirement mentioned above, only nationals of the following countries are eligible to apply: UK or other EU country, Canada, Australia, USA, New Zealand

Essential on arrival:
- 1-2 years of administrative experience
- 1-2 years of finance experience
- Strong written and oral communication skills with ability to absorb information quickly and efficiently.
- Proficient in the use of MS Word, MS Excel, MS Outlook and resourcefulness to efficiently search the web.
Language requirements:
- Language: English
- Level of language required: Fluent

The basic pay of INR 105,770 per month topped up with additional allowances shall be provided:
- Security Allowance of INR 54,806
- 18% of the basic in lieu of Provident Fund & Superannuation Fund
A full breakdown of salary will be provided.

The following amounts may be deducted from your pay each month:
- Notional tax at a flat rate of 20% of gross salary will be deducted by the BHC if you are not liable to pay local tax. This applies to all spouses and partners of UK-based officers posted to India.
- Staff who are not spouses or dependants of UK-based officers are liable to pay local tax. In these circumstances tax is not deducted at source and staff must make their own arrangements to pay tax in accordance with Indian tax regulations.

Overseas Citizen of India (OCI) card holders will need have, or be able to obtain, a valid special work permit issued from Government of India (GOI) to work in the British High Commission (BHC). BHC will not be able to sponsor work visas or obtain/ assist with the special work permit from GOI. Offers of employment made to OCI card holders will be conditional upon candidates obtaining a special work permit.
