Main purpose of job:

To provide first class support to the British High Commissioner (HC) and Deputy High Commissioner (DHC) to include: leading on diary and contact management, event coordination, visit planning, liaison with the Fijian Government (and Tuvalu, Kiribati, FSM, RMI), Ministries, other diplomatic missions and UK government departments. Additionally, to take on standalone projects and policy work as appropriate.

The relationship between the UK and Fiji is growing and deepening across a number of key areas including climate, security, trade and sustainability. Your role will be to support the HC and DHC and the Oceania Network to ensure delivery of these ambitions. The Executive Assistant to the HC/DHC role is at the heart of the British High Commission. The successful candidate will be a great communicator, resilient, resourceful and proactive. She/he should be able to juggle competing priorities and always project a calm, professional image. The successful candidate will need to demonstrate sound judgement, be a fantastic team player and communicate effectively across all people and professions.

Roles and responsibilities / what will the jobholder be expected to achieve:

1. Provide support to HC/DHC across all aspects of work, with a particular focus on administrative support and outer office functions.

  • Help HC/DHC to manage time efficiently, incl. by effective and proactive diary management, helping with prioritising/deconflicting calls on their time, anticipating/arranging associated briefing or logistical requirements, reminding of important tasks/deadlines, etc.;
  • Organise events, meetings and appointments, book and arrange travel, process invoices;  Champion smart, electronic corporate knowledge and information management.
  • Act as the initial point of contact for internal and external stakeholders on behalf of HC/DHC, projecting a positive and professional image, and ensuring a timely and accurate flow of relevant information both ways;
  • Maintain good situational awareness of HC/DHC and team activities and priorities and use that to help them get the best out of each other;
  • Provide secretariat function (scheduling, agenda, minutes) to various BHC committees as needed;
  • Other duties as relevant or directed by senior management.

2. Provide an effective connection between HC/DHC and colleagues across the UK in Fiji Network.

  • Collaborate effectively with colleagues across the Oceania Network about HC/DHC’s activity, in support of UK government objectives;
  • Support colleagues across the Oceania Network to develop expertise and excellence in their work with HC/DHC; and bring creative thinking and improved processes to deliver.

3. Support delivery of wider team objectives  

  • Organise or contribute to the High Commission-organised events and activities (King’s Birthday Party, receptions, visit programmes, away days, conferences, etc.) as needed, e.g. by joining organising committees, providing additional logistical/admin support, managing guest lists/invitations/RSVPs;
  • Participate regularly in All Staff meetings, learning and development, and other activities designed to build and develop the team;
  • Provide cover or support to colleagues under pressure or to assist with team absences, as needed.

Resources managed (staff and expenditure):

The jobholder is responsible for processing and monitoring various expenses relating to the High Commission, HC/DHC. 

  • Good interpersonal skills and able to work in a Team (team player);
  • Experience in engaging with and influencing customers and stakeholders at senior levels;
  • Excellent organisational skills, strong communication and teamwork.
  • Proficient user of Microsoft Office, online booking, reservation and communications systems and applications.

  • Recent experience as a personal assistant/executive assistant OR relevant transferable skills;
  • Experience of working in an international environment;
  • Understanding of Fiji’s people, politics and society.
  • Some experience of/connection to the UK.

Open to Fiji citizens, permanent residents. Interstate applicants will be required to meet their own travel and relocation expenses.

No accommodation or relocation expenses are payable in connection with this position.

Staff recruited locally by the High Commission are subject to Terms and Conditions of Service according to local Fiji employment law.

Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

Learning and development opportunities:

The UK in Fiji and Oceania Network provides a variety of Learning and Development (L&D) opportunities for all staff to improve their skills and capabilities. We encourage staff to use their entitlement of a minimum of five L&D days per year and reward excellent L&D achievements.

We offer the International Academy and the Skills Framework to identify professional strengths, levels of capability and areas for development. We organise internal sharing sessions and provide a wide range of soft skills courses with regional training leads, reputable local trainers and from experienced officers within the Network.

Working patterns:

The jobholder will be expected to work full-time in the British High Commission. Due to challenges of technology and utilities, remote working is not practical. Though some pre-planned flexibility can be agreed on an ad-hoc basis, and when personal and family commitments demand.

Other Information:

A probationary period of three months, extendable to six, will be used to ensure that the successful candidate is able to deliver this unique and flexible role and that we as an employer meet the candidate’s expectations.
