Main purpose of job:

The Corporate Services Department of the British High Commission requires a Maintenance Officer to assist with regular and ad hoc maintenance requirements to enable the effective running of the High Commission Estate. The position holder must be highly responsible, dependable, and trustworthy. In addition to having proven knowledge and experience of maintenance work; construction, mechanical, electrical, regulations and compliance, she/he must be able to liaise with and manage contractors to ensure works are carried out in accordance with FCDO policy and UK standards. The Maintenance Officer will provide regular reports to the Estates Manager, making recommendations on required works and evaluating performance of contractors. The Maintenance Officer will also need to have extremely good customer service delivery skills and be able to communicate clearly, both orally and in writing. The jobholder will require a combination of practical hands-on maintenance skills and the ability to scope new requirements and manage contractors. 

Technical Skills:

  • Carry out internal maintenance work across the Estate as requested and within the required deadlines.
  • Assess works requests and make recommendations on how to address them, ie whether to use internal resources or outsource.
  • Provide technical advice in relation to building, mechanical and electrical works with the assistance of the Estates Team.
  • Inspecting sites as necessary to determine extent and type of repair work required.
  • Consulting with contractors to trouble shoot structural, electrical and mechanical problems.
  • Attending emergency call outs and carry out on the spot repairs to emergency standby systems.

Supervision of facilities maintenance team:

  • Provide supervision of the maintenance support officer and ensure you are working effectively together, as a team, and work is of a consistently high standard.
  • Engage in information sharing in the Estates Team.

Works Requests:

  • Review and carry out works requests on a daily basis, prioritise tasks and ensure full implementation of the works.
  • Attending to repair work to ensure that the level and quality of service are high and all work orders are completed in a timely manner.
  • Managing contractors and inspecting their work, monitoring standards and performance and reporting to your Line Manager.
  • Maintaining an electronic database for all maintenance requests and scheduled maintenance register.

Preventative Maintenance:

  • Contribute to the developing, planning and implementation of annual maintenance programme for the whole estate.
  • Plan and schedule works in line with preventative maintenance program.
  • Advise and provide reports to the Estates Team on best course of action regarding maintenance and upkeep requirements.

Health and Safety:

  • Lead on the Estates compliance health and safety requirements including evacuation, incident and hazard reporting.
  • Implementing procedures for the ongoing identification of hazards, assessment of risks and the implementation of necessary control measures.
  • Take actions to correct recommendations made in Health and Safety and property inspection reports.
  • Maintain an effective monitoring system for all written documentation with regards to maintenance requests, contracts and service specifications & tools/machinery inventory.

Reporting:  

  • To report regularly to Line Manager on progress of work requests and the maintenance programme.
  • Provide accurate inventory and stocktake of all estate tools and equipment as well as BHC owned assets on a monthly basis.
  • Provide financial updates and discuss budget forecasting with the Estates Team, reporting to Line Manager any risk/opportunities throughout the financial year, operating in line with value for money principles.

Other:

  • Be the first point of contact and be available to attend out-of-hours emergencies (an on-call allowance will be given).

  • 1 x Maintenance Support Officer (AA)

Essential on arrival:

  • Excellent command of spoken and written English
  • Excellent communication skills, teamwork and interpersonal skills
  • Trade qualification/apprenticeship trained
  • 3 year diploma holder in a technical discipline
  • Experience working on emergency standby
  • Medically fit to perform the role
  • Valid driving licence
  • Computer proficiency in Microsoft Office (e.g Word, Excel, and Outlook)

Desirable:

  • Post qualification experience.
  • Experience of working across a range of difference trades.
  • Supervisory experience.

Open to Fiji citizens, permanent residents. Interstate applicants will be required to meet their own travel and relocation expenses.

No accommodation or relocation expenses are payable in connection with this position.

Staff recruited locally by the High Commission are subject to Terms and Conditions of Service according to local Fiji employment law.

Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

Working patterns:

The jobholder will be expected to work full-time in the British High Commission. Due to challeges of technology and utilities, remote working is not practical. Though some pre-planned flexibility can be agreed on an ad-hoc basis, and when personal and family commitments demand.

This position may sometimes require work outside of normal office hours, for which TOIL or overtime can be pre-authorised.

A probationary period of three months, extendable to six, will be used to ensure that the successful candidate is able to deliver this unique and flexible role and that we as an employer meet the candidate’s expectations.
