The Embassy in Rome is looking to recruit an International Liaison Assistant to provide administrative and organisational support to the International Liaison Manager (ILM) and International Liaison Officers (ILO) as necessary. To contribute to close working partnerships with host country law enforcement, carriers and other UK law enforcement teams. To contribute to the wider objectives of the British Government’s Italian network and to support the Embassy’s positive working environment by becoming part of the British Government’s presence in Italy.

Roles and responsibilities:

  • Manage the team email inbox including responding to, actioning and referring on emails as appropriate.

  • Maintain risk databases, including substantial data entry and related background research and development.

  • Prepare statistics, reports and carry out translations.

  • Liaise with internal and external stakeholders including Embassy colleagues, airlines and local Law Enforcement across our region including Malta and Slovenia.

  • Organise regional travel, training sessions and internal/external meetings in consultation with the ILO/M.

  • Regional travel may be required.

  • Fluency at C1 level in English and Italian both written and spoken is essential (C1 level under the CEFR or equivalent*) and will be tested during the application process;
  • IT literacy, a good knowledge of Microsoft Word, Excel, Outlook, Teams and Power Point is essential;

  • Flexibility. Occasionally the position may require the job holder to work extended hours or work flexibly, sometimes at short notice; this may include some travel.

  • The ability to work effectively both within a small team and as part of the wider embassy structure, in accordance with embassy values, contributing to wider corporate life.

  • Obtain required security clearance in advance.

  • Previous experience in an administrative role and managing data;

  • Experience of working in an international/multilateral environment;

  • Basic knowledge of UK and Italian government/civil service structures;

  • Previous experience or knowledge of the travel industry, aviation, maritime and/or security sectors.

This is a full-time fixed-term position for 12 months, graded AO according to the Civil Service grading structure. The annual gross salary is €39,060, with an additional payment of € 10.33 EDR paid 13 times per year (pro-rata). There are 14 salary payments in a calendar year, with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata.

Working hours are 35 hours per week Monday to Friday, with some flexibility. Occasionally the position may require the job holder to work extended hours.

All staff are enrolled in the Italian state social security and pension schemes, with flexibility to pay into the employee’s private pension scheme if chosen.

The appointment is subject to security clearance, professional background check and the successful completion of a probationary period of 4 months.

All staff employed by the British Embassy are subject to Italian income tax (IRPEF). However the administration of these tax payments will vary depending on nationality.

Staff recruited locally by British diplomatic missions in Italy are subject to terms and conditions of service according to local Italian employment law.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract.
