The British Government in Germany is based at the British Embassy in Berlin and our Consulates in Dusseldorf and Munich. Currently, we are recruiting an IT Support & Corporate Services Officer for the British Consulate-General in Dusseldorf.

We are looking for a dynamic and adaptable team player with excellent customer services skills and thorough IT support experience. Your role will help ensure the smooth day-to-day running of the Consulate, providing a platform for colleagues to complete their work. This following job description is for one full time position, which could be offered as one part time IT support and one part time Corporate Services support position. Why should you apply:

You will be working at the heart of the Consulate Dusseldorf, supporting the whole team with IT-related matters and/or liaise closely with the office manager to ensure that daily operations run smoothly. The role requires excellent time-management and prioritisation skills as well as the ability to speak fluently in English and have basic communication skills in German.

IT support – in collaboration with UK IT Help Desk and wider Information and Digital Directorate (IDD), you will provide local IT and infrastructure management support to a team of approx. 28 users. This includes the upkeep of onsite IT systems, hardware, telephones, and network. 
You will be first point of contact for any IT Help Desk queries and support with the introduction of up-grades and system change projects (device upgrades, Wi-Fi and telephony refresh projects etc). 

Corporate Services support – you will work closely with the office manager in Dusseldorf on day-to-day tasks. This includes managing invoices, handling incoming mail, liaising with the police and security company to ensure the Consulate-General remains a safe place for staff and visitors. In this role you will also work closely with our facilities management provider to ensure compliance with all current health and safety regulations.

Roles and responsibilities:

  • IT: Provide a focal point for IT users in Dusseldorf on a range of technical and administrative IT related queries for both hardware and software. Report technical issues to the Foreign, Commonwealth and Development Office IT Helpdesk in the UK and act as point of contact for technical visits;
  • IT: proactively maintain a range of ITC systems including different types of networks, VOIP and mobile phones, pool of spare laptops and video conferencing system and keep the IT inventory up to date;
  • IT: work in crisis IT support across the Germany network including preparation and training of staff;
  • Office management: Working closely with the Corporate Services and Security Manager in Dusseldorf, having a good understanding of the daily management of the Consulate-General and act as back up contact on Health & Safety, post security, liaison with the facilities management provider and other outside contacts. Ensure  Health & Safety and security regulations are followed at all times and all staff members are familiar with relevant procedures;
  • Finance: Cash handling duties to meet monthly financial reporting deadlines. Support with payment of invoices and communication with suppliers;
  • Postal services: handling of daily incoming mail and sending/receiving diplomatic mail;
  • Crisis role: Active participation in crisis planning and prevention and participation in exercises with the wider network;
  • Corporate: participate in projects focussed on supporting and developing the collective spirit of the Consulate-General and wider Germany network;
  • Event management: Provide assistance with any visits at the Consulate-General or other events as necessary;
  • Any other duties that may reasonably be required in support of the wider work of the Consulate-General, including crisis work.

  • English (written and spoken, minimum of C1 level for CEFR framework*);
  • Good working knowledge of IT hardware and software;
  • Microsoft Office 365 skills;
  • Excellent customer service skills;
  • High standard of self-organisation, attention to detail and delivery;
  • Ability to both work independently as well as being part of a wider team;
  • Work well under pressure, skilled at prioritisation of multiple tasks;
  • Ability to maintain confidentiality at all times;
  • Fluent English, both written and spoken, to at least C1 level. Excellent communication skills;
  • Basic knowledge of German to communicate with local service providers.

  • German (minimum B2 level according to the Common European Framework of Reference for Languages);
  • Previous experience in the IT field with an IT-related qualification;
  • Knowledge of networking solutions and an understanding of network infrastructure;
  • Familiarity with basic budgeting and accounting principles.

The successful candidate will be subject to professional background check and security clearance. The successful candidate must have pre-existing work authorisation in Germany in order to apply.

Staff recruited locally by the British Embassy are subject to Terms and Conditions of Service according to local German employment law.

Visa/work permit requirements: Candidates must currently hold the independent right to live and work in Germany and be prepared to ensure that right remains throughout the scope of the contract.

The British Consulate-General Dusseldorf has a strong ethos of Learning and Development and there will be many opportunities to attend internal and external seminars and events on relevant issues. This is in addition to the induction programme offered to all staff and familiarisation visits to other posts in the network. Further training provided for IT, Finance, Health & Safety and Security elements of the position.

Resources managed (staff and expenditure): 

Overall daily management of all IT and telecommunications assets. Accounting for local budget cash box and shared responsibility for Health and Safety and security matters at post, working closely with the Office Manager and Consul-General.
