Main Purpose of Job:

The British Embassy in Jakarta is part of a world-wide network of 270 Diplomatic Posts, representing British political, economic, commercial and consular interests overseas. We are currently recruiting for a full-time Diary Manager and Executive Assistant to His Majesty’s Ambassador (HMA).

The jobholder will provide diary management and executive support to the British Ambassador to Indonesia. S/he will manage the Ambassador’s schedule, meetings, briefings, and travel, and organise and arrange events for the Ambassador in liaison with other sections at the Embassy.

What the Jobholder will be Expected to Achieve:

Service Delivery

  • Manage HMA’s calendar, ensuring efficient scheduling, prioritisation, and follow-up on meetings and engagements.
  • Coordinate HMA’s travel arrangements, both domestic and international, including logistics, accommodation, and budgets.
  • Ensure all briefings, speeches, and other materials are prepared and of high quality, including collecting information from colleagues or conducting independent research.
  • Record key meetings as required, ensuring timely follow-up on actions.
  • Maintain efficient administrative systems, including correspondence flow, document management, and filing systems.

Strategic Coordination and Liaison

  • Serve as an initial point of contact for HMA, liaising with internal and external stakeholders to identify priorities and provide administrative support for key projects.
  • Organise logistics for internal meetings, including preparing agendas, sending invitations, and arranging venues.
  • Build and maintain an effective network of contacts to support office priorities and ensure smooth communication.
  • Manage visitor protocols, ensuring compliance with corporate standards and providing support for external delegations.
  • Respond to inquiries with professionalism, tact, and discretion, handling sensitive matters effectively.

Financial Management

  • Support line manager in managing HMA’s budgets, including forecasting, expenditure tracking, and compliance with embassy guidelines.
  • Maintain accurate records of financial transactions and liaise with vendors to ensure timely payments.

General Support

  • Provide management and logistical support, ensuring timely delivery of tasks and alignment with objectives.
  • Support broader embassy initiatives as required, contributing to a high-performing and collaborative team environment.
  • Collaborate on tasks with other team members, including providing cover to other team members as necessary.

  • A bachelor’s degree from a recognised university. Experience in a similar administrative or coordination role would be an advantage
  • Exceptional organisational and multitasking skills, with the ability to prioritise, meet tight deadlines, and remain calm under pressure
  • Capability to work productively and independently on varied assignments, while adapting to shifting priorities and delivering results within agreed timelines
  • Strong verbal and written communication skills in both English and Bahasa Indonesia, with the ability to draft, edit, and ensure the quality of documents requiring approval or signature
  • Excellent interpersonal and intercultural skills, demonstrating tact, professionalism, kindness, and discretion when engaging with colleagues and stakeholders at all levels
  • Proven initiative, problem-solving abilities, and a can-do attitude, with the flexibility to adapt to evolving responsibilities and changing priorities
  • A meticulous approach to tasks, ensuring accuracy and adherence to protocols in all work outputs
  • Willingness to work flexible hours, including occasional overtime, with a responsive and dependable approach to meeting executive and organisational needs

Language Requirements:

  • Fluent Bahasa Indonesia and excellent English language skills, both written and spoken

  • A strong academic record with a GPA above 3.3/4.0, IELTS above 7 and/or a master’s degree in a relevant field (e.g., public administration, social studies, communications, literature)
  • Previous experience working with executive-level or senior management in a foreign mission, international organisation, multinational company, or government institution
  • Strong drafting and research skills for improving speeches, briefings, and reports, with the ability to tailor content for diverse audiences
  • Experience in budgeting, expense tracking, and financial reporting to support senior management in managing resources efficiently
  • Experience planning and coordinating events with numerous participants, including scheduling, logistics, budgeting, and managing diverse stakeholder needs, would be an advantage
  • Knowledge of graphic design software (e.g. Canva, Adobe Suite) and familiarity with tools for creating visually engaging materials would be an asset

The British Embassy Jakarta offers a competitive remuneration package including:

Working Patterns: 

Normal working hours are 39.5 (gross) per week: 07:30hrs to 16:00hrs from Monday to Thursday and 07:30hrs to 13:00hrs. At present, all staff working in the FCDO, Jakarta are expected to attend the office for four days per week, subject to change. Subject to operational demands and line manager approval, the team operates a ‘core hours’ policy of 09:00 to 15:00 with individual flexibility around that and one day of work from home per week on request.

No accommodation or relocation expenses are payable in connection with this position. All candidates must be legally able to work and reside in the country of the vacancy with the correct visa/work permit status or demonstrate eligibility to obtain the relevant permit.

Staff recruited locally by the British Embassy Jakarta is subject to Terms and Conditions of Service according to local employment law. In relation to this, the successful candidate will need to arrange for his/her own Police Certificate.

Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

The FCDO also operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
