Main Purpose of Job:
Corporate Services Team is the “engine room” of the Embassy, providing a broad range of essential services to support delivery of British Government objectives in Japan. We provide services to around 190 staff in Japan and provide the lead for Corporate Services policies for the Japan Network (the Embassy in Tokyo and the Consulate-General in Osaka).
The Corporate Services Officer will lead the provision of official transport services for the Embassy, from day-to-day operation to ministerial and royal visits form the UK to Japan.
Once the job holder is established in the role there will be opportunities to develop skills in other areas of corporate services. The jobholder will collaborate with team members to deliver the whole range of corporate services, working closely with the Deputy Head of Corporate Services (DHoCS).

What the Jobholder will be Expected to Achieve:
Operation and Governance:
- Operate within a framework of the UK overseas transport policy, and in-country policy agreed
- Oversee day to day transport booking and calendar management by drivers and resolve any issues
- Arrange logistics for diplomatic messenger services such as King’s messenger and MoFA run
- Review policies and practices with DHoCS to update our services as circumstances change
- Inform service users by delivering sessions on transport operation and handle queries
Resource:
- Manage drivers’ working hours, approve leave and expenses, and conduct performance reviews according to our appraisal system, supported by DHoCS
- Purchase and deposit official vehicles, and check vehicle maintenance and insurance renewal by our drivers. Monitor and update transport related forecasted expenditure against the budget
- Handle the response to any accidents and ensure overall transport safety
Visit:
- Lead the transport element of the visit programme for senior visitors from the UK
- Provide advisory services to visit logistics leads and handle charges related to visits
- Manage schedule proactively to secure time required for services
Team Support and others Duties:
- Allocate time for shared tasks within the team to increase the team resilience and agility
- Example of tasks are the update corporate rates with hotels, office admin (sealing, scanning, mailing), and covering duties of another CSO

- Basic IT skills (Excel, Word, PowerPoint, Microsoft Teams)
Language Requirements:
- Japanese and English
- Fluent Japanese and business level English (TOEIC score 900 or above) or vice-versa

This is a maternity cover role, advertised as a 12-month, fixed term contract.
The job is guaranteed for a full year by 30 April 2025 (minimum employment duration).
- 1 month salary bonus equivalents payable in June and December
(Note: Salary may be reduced due to tax status) - Commuting allowance of up to JPY35,000 per month (paid on an actual cost basis)
- 25 days paid annual leave (calculated pro rata)

Working Patterns:
Normal working hours are 37.5 per week, with at least four days per week working from the office.
The British Embassy Tokyo supports and promotes flexible working as a crucial part of our inclusive offering. This particular role allows for flexibility in start and end times, working from home for one day per week, subject to agreement with management.
