Main Purpose of Job:

The Tokyo Defence Section is responsible for the delivery of all Defence outputs in Japan. This is an exciting opportunity to support the delivery of our growing ambition across the Air, Space & Broader Capability domains. The post holder will predominantly support the Air Attaché and GCAP & Capability Attaché in delivering the UK’s Defence objectives and broader Japan Network country plan. This Officer will work closely with the Defence Attaché, as well as the Air Attaché and GCAP & Capability Attaché.

What the Jobholder will be Expected to Achieve:

  • Support, and at times lead, the Defence Section in cohering Air, Space & broader capability visits and engagement opportunities across the Embassy.
  • Contribute to the planning and delivery of in-country discussions, with a view to providing executive and secretarial support for key engagements, including accompanying senior leaders from both the UK and Japan and providing ad hoc assistance to them to support the objectives of their visit.
  • Lead administrative and logistics support for Air, Space & wider capability related visits. This will include formulating and submitting note verbales and other forms of Diplomatic applications (these are the means through which nation states formally communicate) as well as formal Request for Visit applications on behalf of the Defence Section. Such diplomatic communications rely on accuracy and will require a keen attention to detail from the job holder.
  • Support the Air Attaché in the management of data transfers. This may mean conveying (transport will be provided) hard-copy information to Japanese government departments.
  • Support the Defence Section in identifying broader UK/Japan capability opportunities, leading on distinct areas of work as required.
  • Within capacity, act as the Protocol Officer for the significant number of inward visits. Learning from an established team you will be able to anticipate the information requirements for both visitors and host nation officials, which will contribute to well organised and successful visits.
  • Surge onto high priority work within the Defence Section as required and in support of the wider team. With appropriate discussion and only with agreement, this may include transferring to a similar Defence Section role, at the same grade (for instance Executive Officer – Maritime Capability).

  • Excellent business communication skills in English (orally and in writing)
  • Project Management experience
  • Good IT skills, particularly Microsoft Office (Word, Excel, PowerPoint etc)
  • Strong communications skills and ability to work within a close-knit team. Ability to develop relationships and network is also vital
  • Knowledge of Japanese government systems, cultural awareness, and of Japanese business etiquette
  • Able to communicate effectively with a range of contacts from a diverse range of sectors and ministries
  • Willing to travel within Japan and potentially other nations, for the planning or execution of visits and be able to accompany a group during a visit as required

Language Requirements:

  • Fluent Japanese speaker, Professional level of English required with experience of use in a business environment
  • Level of language required: Japanese (JLPT N1 or above)

  • Interest in Defence and Security issues
  • Motivation to understand Japanese legal restrictions when conducting defence activities in Japan
  • Pre-existing experience in the Def & Security sector and/or Government or Defence ministry experience
  • Experience on VIP visits from overseas

Working Patterns:

Full time and office based. 37.5 hours per week.

The British Embassy Tokyo supports and promotes flexible working as a crucial part of our inclusive offering. This particular role allows for flexibility in start and end times, working compressed hours, working remotely for one day a week, and the possibility of a job share arrangement, subject to agreement with management.

All staff are required to take a role in the embassy’s crisis preparation and response. Full training will be provided for this and regular opportunities will be available to test and develop your skills.
