The official driver is an exciting role that supports the further strengthening of the UK and Japan partnership by providing official transport to the Ambassador, Embassy staff and VIP/VVIPs. Providing safe and reliable transport plays an important role in ensuring that we are able to deliver a wide range of HMG (Her Majesty’s Government)’s objectives. Other responsibilities include vehicle maintenance and cleaning, transport booking, and administrative support to the team.

What the Jobholder will be Expected to Achieve:

Driving:

  • You will drive an official vehicle safely and efficiently for official passengers, in line with Japanese laws and regulations. Your duties will include:
  • Inspection – daily check of tyre pressures, hydraulic fluid, oil etc.
  • Keep vehicle clean, safe, and serviceable in your care
  • Make sure all passengers use seatbelts
  • Record all journeys accurately
  • Report any defects of vehicle or issue immediately
  • Act as a Messenger, and collect & deliver official letters in a careful manner

You will be asked to ensure the confidentiality of passengers’ information (e.g. conversation in the vehicle). You will also support the handling of diplomatic cargo.

日本の法律や規制に沿って、公用車を安全かつ効率的に運転します。職務には下記が含まれます。

  • 点検 – タイヤの空気圧、作動油、オイルなど毎日点検する。
  • 車両を清潔で、安全で、運行可能な状態に保つ。
  • すべての乗客がシートベルトを使用していることを確認する。
  • すべての運行を正確に記録する。
  • 車両の欠陥や問題があればすぐに報告する。
  • メッセンジャーとして、公用の書簡を慎重に収集配達する

乗客の情報(車内での会話など)の機密性を担保することが求められます。外交貨物のハンドリングのサポートも行います。

Bookings:

You will manage transport bookings and provide administrative support to the Corporate Services team. For detail, you will handle a number of requests, by checking/updating the transport calendar, responding to emails/phone calls in English/Japanese.

You will need to build a good understanding of our transport policy, reporting to the officer (line manager).

予約業務

配車予約を管理し、管理部に事務サポートを提供します。具体的には、トランスポートカレンダーの確認・更新、英語・日本語でのメール・電話対応、など、多くのリクエストに対応します。大使館のトランスポートの方針をよく理解し、オフィサー(直属の上司)に報告します。

Additional duties:

You will be asked to do ad-hoc tasks as corporate contributions (e.g. preparation for a crisis, supporting events) for the embassy. Detail is to be discussed with your line manager.

  • Basic knowledge on Route & Traffic in Tokyo, Japan

  • Over 3 years working experiences as a professional driver

Language Requirements:

This role requires written and spoken proficiency in both English and Japanese. Fluency (minimum of C2 level for CEFR framework*) in one language and business level (minimum of high B2) in the other.

*Common European Framework of Reference (CEFR) for Languages sets the following mastery or proficiency levels:

  • C2: Can understand with ease virtually everything heard or read. Can summarise information from different spoken and written sources, reconstructing arguments and accounts in a coherent presentation. Can express themself spontaneously, very fluently and precisely, differentiating finer shades of meaning even in more complex situations.
  • B2: Can understand the main ideas of complex text on both concrete and abstract topics, including technical discussions in their field of specialisation. Can interact with a degree of fluency and spontaneity that makes regular interaction with native speakers quite possible without strain for either party. Can produce clear, detailed text on a wide range of subjects and explain a viewpoint on a topical issue giving the advantages and disadvantages of various options.

Working Patterns:

In principle, Office hours are 0900-1730, Monday to Friday. However, you will occasionally be asked to work outside of office hours (e.g. for an early morning or late pick up) depending on the week. It is desirable for you to be situated near the embassy (within 1h distance by public transport). Overtime will be paid with salary or by time off in lieu (you can take leave on an alternative date). 

基本的な業務時間は月曜日から金曜日の9時から17時30分ですが、週により早朝もしくは夜間の送迎など、通常の業務時間外の業務が発生する場合もあります。このため公共交通機関で1時間以内の通勤圏内であることが望ましいです。勤務時間外に業務が発生した場合は、残業代、もしくは振替休日・勤務時間調整制度を選択し相殺頂きます。

On the job training is available, so that the driver can learn about the Embassy’s expectations.

Drivers need to dress professionally, and the Embassy will provide a uniform budget to cover this cost.

25 days of Annual Leave is provided per year, and employees are encouraged to use all.

The FCDO also operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.

Learning and Development Opportunities (and any specific training courses to be completed):

The British Embassy offers comprehensive learning and development opportunities that will be fully available to the jobholder. We regularly run both work area specific training, as well as more general skills development in project management, finance, and leadership. Each year the job holder will be encouraged to use 5 development days to pursue job related and personal development goals. 
 
All staff are required to take a role in the embassy’s crisis preparation and response. Full training will be provided for this, and regular opportunities will be available to test and develop your skills.
