Main Purpose of Job:

The official driver is an exciting role that supports the strengthening of the UK and Japan partnership by providing official transport to the Ambassador, Embassy staff and VIP/VVIPs. Providing safe and reliable transport plays an important role in ensuring that we are able to deliver a wide range of HMG (Her Majesty’s Government)’s objectives. Other responsibilities include vehicle maintenance, transport booking, and administrative support to the team.

英国大使館のオフィシャルドライバーは、大使を始め大使館職員や英国からのVIP/VVIPなどを安全かつ正確に公用車にて目的地に運ぶことにより、英国と日本の結びつきをより強化するための大使館としての大きな目的に貢献できる魅力的な仕事です。また運転のみでなく、車両の点検、予約の受付/管理作業なども業務として対応頂きます。

What the Jobholder will be Expected to Achieve:

Driving (75% of your time)

You will drive an official vehicle safely and efficiently for official passengers, in line with Japanese laws and regulations. Your duties will include:

  • Inspection – daily check of tyre pressures, hydraulic fluid, oil etc.
  • Keep vehicle clean, safe, and serviceable in your care
  • Make sure all passengers use seat-belts
  • Record all journeys accurately
  • Report any defects of vehicle or issue immediately
  • Act as a Messenger, and collect & deliver official letters in a careful manner
  • You will be asked to ensure the confidentiality of customers’ information (e.g. conversation in the vehicle), and not to disclose to any person.

運転業務(配分75%)

  • 公用車を日本の法律を遵守しながら安全かつ効率的に運転し、乗客を目的地まで送り届けます。以下も業務として対応頂きます。
    車両点検(毎日のタイヤ空気圧やエンジンオイルなどの点検)
  • 車両の維持管理(清潔かつ運行上安全な状態での維持、不備や問題点があった際の迅速な報告)
  • 乗客の安全確保(シートベルト着用の確認)
  • 正確な運行記録管理
  • メッセンジャー業務(公的な書類の送付、受取り)
  • 車内での会話など、業務で知りえた情報は厳に守秘義務を守り他言しないようお願いします。

Bookings (20% of your time)

You will manage transport bookings and provide administrative support to the Corporate Services team. For detail, you will handle a number of requests, by checking/updating the transport calendar, responding to emails/phone calls in English/Japanese, and reporting to the transport manager.

You will need to build a good understanding of our transport policy.

予約業務(配分20%)

日々の予約受付業務、カレンダー管理などを対応頂きます。具体的には予約受付/管理、カレンダーへの入力及びメールや電話対応(日本語/英語両方での対応)、チームマネジャーへの報告などがあり、全てのベースとなる当館のトランスポートポリシーを深く理解して頂くこととなります。

Additional Duties (5% of your time)

You will be asked to do ad-hoc tasks as corporate contributions (e.g. preparation for a crisis, supporting receptions and events, etc) for the embassy. Detail is to be discussed with your line manager.

その他業務(配分5%)

大使館全体業務への貢献として、その都度必要な業務に携わって頂くことがあります(緊急事態への備え、イベントやレセプションでの対応)。詳細はラインマネージャーと相談のうえ適宜決定となります。

Official vehicles to arrange insurance and car maintenance services

公用車のメンテナンス・保険の更新や1年点検など対応頂きます。

  • Japanese Driving Licence (Standard – Futsu)
  • Basic knowledge on Route & Traffic in Tokyo, Japan
  • Good Communication Skill and Team skill
  • No Criminal Record
  • Basic Computer Skill (Word, Excel, outlook emails)

  • Driving Record Certificate (3 years) – Unten Kiroku Shomeisyo (https://www.jsdc.or.jp/certificate/tabid/109/Default.aspx)
  • Certification of Driver’s License History – Unten Menkyo Keireki Shomeisyo

Working Patterns:

In principle, Office hours are 0900-1730, Monday to Friday. However, you will occasionally be asked to work outside of office hours (e.g. for an early morning or late pick up) depending on the week. It is desirable for you to be situated near the embassy (within 1h distance by car or public transport). Overtime will be paid with salary or by time off in lieu (you can take leave on an alternative date). 

基本的な業務時間は月曜日から金曜日の9時から17時30分ですが、週により早朝もしくは17時半以降の送迎など、通常の業務時間外の業務が発生する場合もあります。このため、車もしくは公共交通機関を使い1時間以内の通勤圏内であることが望ましいです。9時から17時30分の業務時間外に業務が発生した場合は、残業代の支給、もしくはTOILと呼ばれる振替休日・勤務時間調整制度を選択し相殺頂きます。

On the job training to be provided, so that the person can be familiar with embassy’s routine and possible irregular cases.

Drivers are expected to dress professionally, and the Embassy will provide a uniform budget to cover this cost.

25 days of Annual Leave is provided per year and employees are encouraged to use all.

Subject to availability, commuting by personal car is available.

大使館職員として適切な身だしなみを整えて頂くためにも、大使館からユニフォーム代の支給があります。
有給休暇は年に25日付与され、年内に消化することが強く推奨されています。
車通勤も可能です。駐車スペースには限りがあります。

Learning and Development Opportunities (and any specific training courses to be completed):

    The British Embassy offers comprehensive learning and development opportunities that will be fully available to the jobholder. We regularly run both work area specific training, as well as more general skills development in project management, finance, and leadership. Each year the job holder will be encouraged to use 5 development days to pursue job related and personal development goals.

    All staff are required to take a role in the embassy’s crisis preparation and response. Full training will be provided for this and regular opportunities will be available to test and develop your skills.
