The Department for Business and Trade (DBT) is the Trade and Investment Promotion and Negotiation organisation for the UK. We promote British trade and investment across the world, we support UK businesses overseas and attract foreign investment to our shores. We have 3,000 staff across the globe in over 100 countries.
DBT divides the world into 9 regions, each led by His Majesty’s Trade Commissioner. The Latin American and the Caribbean Region (LATAC) is led from Sao Paulo by Jonathan Knott CMG. The Network is represented in 19 Posts with a team of over 170.
DBT LATAC is looking for a full-time Operations Analyst to work with the Operations Team for LATAC, based either at the British Consulate in São Paulo or the British Embassy in Mexico City.
This is an exciting opportunity for an experienced candidate to work in a fast-paced fascinating environment in an important central role. The position reports directly to the Head of the LATAC Executive Office, providing a range of financial, data and executive support to the LATAC region.
The role will suit a team player who is open to new ideas and ways of working, is discreet and capable of working with constantly changing priorities and managing a full workload across different markets. Experience of working in finance and data duties and/or administration is essential and experience in events management is desirable.
Roles and responsibilities:
Finance and Performance Support – 60% of the job
- Provide finance support to the LATAC region by working directly with the Head of Finance with various budget processes such as: expenses monitoring, running reports and highlighting expenditures, delivering internal monitoring and reporting to ensure the Network demonstrates value for money;
- Work with the Head of Executive Office to monitor the budget for HMTC/DHMTC,
- Support the Head of Performance and Data to track and monitor the Networks performance against key KPIs, providing updates, reports and data to senior management,
- Work with the finance and performance team to deliver the Business Planning process.
- Lead on various data and finance projects.
- Take on various ad-hoc admin support roles such as organization of conferences and travels, and other activities including staff engagement, data and performance projects, strategic projects and other administrative support. At times, this includes covering as PA to HMTC when needed.
Diary Management for the Deputy Trade Commissioner – 40% of the job
- Provide administrative support for the Deputy Trade Commissioner, working with wider teams to ensure he can discharge his role effectively. This will include, but not limited to: Receive internal/external meeting requests and schedule – providing clear advice on priorities, flagging deadlines, providing/chasing updates as required, plan and deliver on his visits and travel, reconciling expenses
The job holder should be quick, precise and discreet. They should be a good planner and be able to juggle competing demands, switch between different functions and be comfortable working at speed with a lot of different stakeholders. They should also be a friendly and approachable face of the LATAC Operations Team and DHMTC to senior outsiders and to staff and comfortable solving problems and coming up with innovative solutions. They need to be keen to be part of a culture of excellence, respect and working together. This person also needs to be comfortable with the responsibilities of this role shifting and changing depending on emerging priorities and the needs of the region.
- At least 2 years previous experience of finance and administrative work, or executive/personal assistant
- An excellent standard of written and spoken English and Spanish;
- Excellent computer keyboard skills, including familiarity with the MS Office suite of programs;
- The ability to work with numbers, especially the finance and data aspects;
- The ability to work quickly and reliably and to deliver at pace with limited supervision;
- Excellent attention to detail and level of diligence.
- Excellent self-management, time-management and organisational skills;
- Excellent team work and interpersonal skills;
- Ability to work in a high pressure, high workload environment;
- Flexible and positive approach to working in a forward thinking, modern and motivated organisation.
- Ability to upward manage;
- Ability to efficiently manage budget and forecast.
Language requirements:
Language: English and Spanish
Level of language required: Full fluency in English and Spanish (written and verbal) are essential.
- Experience of working in trade/investment related field – ideally for the UK government.
- Experience of working in LATAC.
- Proven experience of delivering large budgets to budget.
- Understanding and experience of the DBT finance system (HERA).
- Spanish speaking.
- University Degree in, but not limited to: Administration, Business, International Relations, Economics, Secretarial Sciences, etc.

Working patterns:
The job holder will need to be prepared to work occasionally outside normal working hours. This person also needs to be comfortable with the responsibilities of this role shifting and changing depending on emerging priorities. The British Mission supports flexible working and the jobholder will have the opportunity to work remotely/from home on occasion.
Core office hours are: Monday – Thursday 08:00 – 16:30, Friday 8:00 – 14:00.
