Main purpose of job:
The Corporate Services Assistant will be reporting to the Finance Manager and providing support to both her and the Head of Corporate Services (HCS) in the provision of an efficient, effective and standardised delivery of Corporate Services functions working to the regional model, supporting the British Embassy’s Country Plan in its role of promoting British Government policies and values in Mongolia.
Roles and responsibilities / what will the jobholder be expected to achieve:
1. Accounts
- Ensure compliance with financial procedures including correctly accounting for spend and reducing the risk for fraud
- Timely handling of Embassy invoices and payments through the FCDO’s payment system including maintaining monthly paper folders
- VAT management – monthly refund reconciliation
2. Procurement
- Obtaining quotes in line with procurement guidance
- Checking invoices for accuracy before payment
- Acts as requisitioner and receiver for purchasing and supplier maintenance processes
- Keep Agreed Supplier List up-to-date
- Assist with compliance e.g. setting up new suppliers and reviewing existing supplier lists
- Receiving of goods and services
3. Payroll/HR
- Calculate overtime payable to staff
- Line management of and S band officer
- Cover for Finance Manager
- Forecasting and budget management during Finance Managers absence
- Cash management, bank account payments and responsibility for cash box
- Calculate and process monthly salaries of Country Based Staff (CBS) for sign off by DHM
- Point of contact for all other Embassy staff on procurement processes
4. Ad-hoc tasks
- Diplomatic ID applications/renewals/visas
- Liaison with contractors iro UKBS UAF, baggage and with Mongolian Customs.

- Fluent oral and written English and Mongolian
- Experience in finance and / or administration and office management;
- Highly proficient IT Skills (Outlook, MS Office)
- Positive service oriented attitude;
- Strong numeracy skills and attention to detail;
- Excellent inter-personal skills

- Working in a similar administrative position;
- Exposure to basic financial practices;
- Use of IT based databases;
- Experience of Oracle ERP systems or similar;
- Qualification in International Relations, Economics, Finance, Accounting, Business related studies or any other fields with applicable transferable skills.
