The British Embassy in Rabat invites applications for the position of Executive Assistant to the Deputy Head of Mission, job grade Administrative Officer (AO), on a fixed-term contract of six (6) months.
The Executive Assistant will primarily provide support to the Deputy Head of Mission (DHM) for the smooth running of the Network; in addition will co-ordinate visa escalations and will provide cover to His Majesty Ambassador’s (HMA) Office Manager during absences or busy times.
You will report to the DHM and will work closely with HMA’s office and more widely with teams in the Morocco Network as well as with External stakeholders like Ministries and Government entities.
This is a new role, and the successful candidate will play a key part in developing it.
Duties and responsibilities:
– Diary and Organisation (20%)
- Manage diary of DHM, making appointments, organising meetings and arranging logistics (transport, meeting rooms, travel etc.), including playing a part in High level visits.
- Issue, track/follow up and respond to Notes Verbales as necessary.
– Governance (35%)
- Co-ordinate the governance mechanism which is run by the DHM – liaison with Secretariats to ensure a good rhythm of corporate meetings, agendas and note-issuing.
- Co-ordinate the calendar of meetings and helping to track actions. Maintain the list of corporate roles and crisis responsibilities. Co-ordinate activities related to governance.
- Manage the Country Board Delivery tracker and handle ad hoc requests for information.
- Act as crisis secretariat and co-ordinate/maintain administrative aspects of the crisis plan.
– Corporate (10%)
- Track UKB resilience (e.g. staff rotations, significant absences, pinch points such as public and school holidays)
- Liaise with Corporate Services on regular updates and reminders to be issued. and co-ordinate responses to requests from HQ as required.
- Liaise with Communications team on Internal Communications matters so that there is a strategic approach and efficient tactical implementation.
- Carry out confidential administration as required (e.g. medals).
– Visits escalations (15%)
- Working with other visa contact points in the Embassy, act as visa escalation officer for high-profile visa cases, handling NVs and raising escalations and High Value cases on the visa portal. Contact point for MFA on official visa issues.
– Deputising (10%)
- Deputise for EA to HMA and support when under pressure.
The above list is not exhaustive, and the jobholder will be required to be flexible as specific responsibilities could change in the future, and this would be at the discretion of the line manager. The job description may be reviewed to meet changes in business needs. The jobholder may also take on other ad hoc tasks as required.

Eligibility:
Applicants must have the right to work and live in Morocco.
Working hours and remuneration:
The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of MAD 17,621 per month. However, employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.
The package includes a good level of medical insurance, 21 days of annual leave (calculated on pro rata basis) plus 14 public holidays, access to on-site swimming pool, tennis court and gym facilities.
There are no other allowances payable as part of this package. No accommodation nor relocation expenses are payable in connection with this position.
The contract will be for a full-time employment, on a fixed term contract for six months, subject to one (1) month’ probation period. The position may have the potential for extension.
Conditioned working hours for the position are 38 hours per week. Normal office hours are from Mondays to Thursdays from 08:00-16:15 and Fridays from 08:00-13:00. Flexible working arrangement – including reduced hours and job-sharing will be considered based on operational requirements and agreement with the hiring manager, and in line with FCDO and Embassy policies. Independent working will be evaluated as a behaviour in interviews.
The Embassy and the FCDO have a strong commitment to learning and development, and all staff are required to agree on a learning and development plan with their line manager to keep track of their learning objectives and journey. The jobholder will also be required to undertake a number of mandatory training courses as part of their role.
