Who are we?
The British Embassy in Ljubljana is part of a world-wide network, representing British political, economic, consular and Defence interests overseas and is now looking for a Political Section Administrative Support Officer.
Main purpose of the job:
The successful candidate will assist the Deputy Head of Mission and Political Team in delivering on their goals and act as lead visits officer responsible for coordinating programmes for VIP visitors. They will also provide support to UK foreign policy engagement through coordinating requests from UK HQ and contribute to briefing and research for the Political Team and the Ambassador.
Roles and responsibilities:
- Assist the Deputy Head of Mission and the Political Section by coordinating requests from UK HQ, diary management, responding to correspondence, arranging travel and transport and organising meetings and events;
- Support engagement of all colleagues in the Political Section, including with policy support, briefing and accompanying to meetings as necessary;
- Ensure good information management practices within the Political Section, including support on programme management;
- Working closely with colleagues from across the Embassy and with UK HQ, coordinate senior official and VIP visits, ensuring well-managed programmes, logistics and clear communication with colleagues in the UK and Slovenia;
- Act as cover for the Head of the Ambassador Office during their absence, working directly with the Ambassador in this role;
- In time, it may be possible to take on a specific political portfolio responsibility;
- Training and personal development through formal and informal training opportunities via the FCDO’s International Academy.

Essential on arrival:
- Proficiency in English and Slovenian, both written and spoken, at a minimum C1 level of CEFR*;
- Completed undergraduate/bachelor’s degree (preferably in International Relations, Political Science, Economics or Law) or 3 years of relevant work experience;
- Good IT proficiency, particularly with the MS Office package;
- Experience of working within a small team structure, with an ability to develop positive relationships;
- Excellent organisational and administrative skills;
- Attention to detail;
- Ability to respond flexibly to the unexpected, and to work at pace when required;
- Manage and prioritise workloads and deliver outcomes;

This is a full-time, fixed-term position of 40 hours gross per week for 12 months with the possibility of renewal by mutual agreement.
The successful candidate will be subject to professional background, security clearance and a probation period of 6 months.
Candidate must have pre-existing work authorisation for Slovenia in order to apply.
Staff recruited locally by the British Embassy in Ljubljana are subject to Terms and Conditions of Service according to local Slovenian employment law.
Visa / Passport requirements: Candidates must currently hold the independent right to live and work in Slovenia and be prepared to ensure that right remains throughout the scope of the contract.
There may be the occasional requirement for travel outside Slovenia. For example, accompanying the FCDO officer to events at British Embassies in the region such as in Vienna, Sofia, Warsaw or Zagreb.
The vast majority of this role will take place in normal working hours, but occasional out-of-hours or weekend working may be required. (We aim to minimise this wherever possible. Where it cannot be avoided, we aim to plan this ahead of time; to respect personal circumstances; and to compensate with time off in lieu.)

The FCDO’s Diplomatic Academy offers a range of courses, including accredited qualifications to help you familiarise yourself with the work of the UK government internationally and how diplomacy works. And L&D funding is available to support your bids for further external training that will benefit you in the role.
