Main purpose of Internship:
The British Embassy Bogota is looking for an intern to provide general administrative and logistical support to the Embassy’s Private Office. The successful candidate will support on administrative, organisational and logistical responsibilities His Majesty’s Ambassador and Deputy Head of Mission’s Private Office.
This includes management of databases, correspondence and general information management, administrative and logistical support for meetings and residence events as required.
Applicants must be students in their final semesters in the fields of Administration, Psychology, Foreign Languages or International Relations with excellent written and oral skills in English and Spanish.
The successful candidate will have the ability to perform in tight deadlines with attention to detail, in a tactful and organised manner, under the supervision of the Private Office.
Roles and responsibilities / what will the Intern be expected to achieve:
Roles and responsibilities:
Administrative Tasks (60%):
- Continuously updates office databases, following all information management guidelines E-files, SharePoint, spreadsheets and office records.
- Supports the Chief of Staff and Executive Assistants with diary requests.
- Supports administrative tasks requirements of the Private Office
- Responsible for the organisation and IT requirements for all recurrent meetings and as required by Private Office.
- Translations (English-Spanish/Spanish-English) at Private Office requests.
- Support with administrative records and tasks in logistic matters.
Residence Events (40%):
- Serves as the main point of contact in Private Office for the support of administrative requirements of residence events.
- Supports the Private Office on issuing official invitations for events including follow-up and confirmation, keeping adequate records and information of all events.

Essential on arrival:
- Excellent knowledge in Microsoft Office Suite (Word, Excel, Power Point, Outlook, Internet).
- Excellent English knowledge in both oral – writing.
- Capacity to work to tight deadlines.
- Currently enrolled in the last semesters of university degree in Administration, Psychology, foreign languages or International Relations and other related subjects.
- Responsible, good communication and customer service oriented.
- Good time management and prioritization skills.
- Available full-time and able to work sporadically on evenings when required.
