Main purpose of job:
To support His Majesty’s Ambassador (HMA) and Deputy Head of Mission (DHM) Private Office, a central department to the British Embassy Bogota. This includes coordination of residence events, management and updating of databases, supporting organisation for meetings, working closely with all Embassy departments, mainly with HMA and DHM.
The successful candidate will have the ability to perform in tight deadlines with attention to detail, in a tactful and organised manner, under the supervision of the Executive Assistant to HMA Bogota.
The internship minimum time is 6 months with the possibility of extending to 12 months.
Roles and responsibilities:
Administrative Tasks:
- Continuously updates office databases and appropriate archive management, following all GDPR and information management guidelines.
- Supports the Chief of Staff and Executive Assistants with diary requests.
- Supports administrative requirements of the Private Office
- Responsible for the organisation and IT requirements for all recurrent meetings and as required by Private Office
- Translations (English-Spanish/Spanish-English) at Private Office requests.
Residence Events:
- Serves as the main point of contact in Private Office for the coordination, planning and delivery of residence events.
- Supports the Residence Manager with request forms and administrative requirements for events.
- Supports the Private Office on issuing official invitations for events including follow up and confirmation, keeping adequate records and information management of all events.

Essential on arrival:
- Currently enrolled in the last semesters of university degree in International Relations, Political Science, Business Administration, Modern Languages, Communication/Journalism and other related subjects.
- Good knowledge of current national and international affairs, diplomacy and protocol
- Responsible, good communication and customer service oriented.
- Capacity to work in high-paced environments, flexible to changes and able to work as part of a team.
- Good time management and prioritization skills.
- Fluent in both written and spoken English and Spanish.
- Available full-time and able to work sporadically on evenings when events requires it.
Must have the legal status to live and work in Colombia.
Language requirements:
Language: Spanish and English
Level of language required: Spanish (native), English (C1, certified with IELTS or TOEFL)

Working hours:

Employees who are not liable to pay local income tax on their Mission salary, eg some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
