Main purpose of job:
The Corporate Services Officer will focus primarily on, procurement processes and contract purchase agreements. Supplier set up, Purchase Orders and Requisitioning for estates projects will be the focus of this role whilst the assistance with estate duties such as, accommodation services, and project management will also be included.
Roles and responsibilities:
- Develop, negotiate, and manage contracts with suppliers to ensure compliance with terms and conditions.
- Monitor vendor performance and maintain relationships to ensure quality, timely delivery, and cost-effectiveness.
- Identify procurement needs, source suppliers, and execute purchasing activities in line with organizational policies and budget constraints.
- Ensure competitive bidding processes and evaluate proposals to select the most suitable vendors.
- Ensure all procurement activities comply with legal, regulatory, and internal policy requirements. Develop scope of works, obtain quotes, research suppliers, pay invoices and track expenditure by individual property. Ensure that value-for-money objectives are achieved and resolve issues with invoices.
- Maintain accurate documentation and audit trails to support transparency and accountability in purchasing decisions.
- Provide support to the Health and Safety, Compliance Manager to deliver an efficient and smooth-running office. Deliver a safe, healthy and sustainable office environment for High Commission staff.
- Stakeholder communications and customer relationship management.
Co-ordinate scheduling and communication of the Post Preventative Maintenance Programme and Health, Safety and Security compliance inspections. - Support the Post Health and Safety Lead to ensure FCDO health & safety policy, procedures and systems of work are understood, implemented and monitored at the office and residential properties.
- Manage minor maintenance projects, including stakeholder consultation, procurement, works scheduling, contractor supervision, and quality control.
- Other duties as required – this will fall mainly to estates duties such as March in/out for in/outgoing diplomatic officers. Change of Occupancies, escorting etc…

Essential on arrival:
- Excellent English speaking and writing
- Experience in a similar role (e.g. estates management, public service/government, construction project delivery and/or service delivery, health and safety management)
- Experience in stakeholder management and customer engagement. Strong communications and interpersonal skills.
- Desired demonstration in experience managing service contracts.
- Excellent self-management, attention to detail and organizational skills.
- Valid driver’s license and ability to self-drive the High Commission’s vehicle.
- Excellent IT skills (especially Microsoft Office and Teams).
