Main purpose of job:

We are looking for a talented person to join our dynamic and inclusive team as our office manager. Our office manager is core to our delivery and wellbeing; and takes care of managing budgets, internal communication reporting and supporting high level events.

Our Science, Innovation, Tech and Health teams create a living bridge between policymakers, researchers and innovators in the UK and India. We are focussed on shaping a fourth industrial revolution that improves citizen’s health, wellbeing and prosperity, based on the principles of democracy, openness and peace in both countries – you’ll be responsible for keeping the projects that enable this on track and within budget; and promoting the real world impact our work achieves to a wide range of audiences.

You’ll work closely with the diverse range of colleagues across the BHC India network to promote successes, manage budget and essential office management for our team, act as secretariat for SIN regional director and run essential parts of high level visits and events.

You’ll be part of an exciting global community of science diplomats: The UK Government’s Science and Innovation network comprises of over 140 officers around the globe in 40 different locations. The Science, Innovation and Technology (SINT) India team is one of the largest of its kind; and aims to build a UK-India science and innovation partnership that is internationally recognised as an unparalleled force for global good.

Roles and responsibilities / what will the jobholder be expected to achieve?:

We are looking for candidates with strong administration skills and a track record of delivery in the diplomatic, international and / or budget management context. If you thrive in a fast-paced working environment with a very diverse range of stakeholders, we would welcome your application.

You will join a team of 16 talented and enthusiastic people to deliver a portfolio centred around three main workstreams:

  1. Provide financial management support to the team to enable us to forecast our spend accurately, raise purchasing orders, assist with expense reconciliation, and deliver projects and events within budget.
  2. Be our office manager, empowering team members to improve knowledge and contact management; managing the SINT regional director’s (RD) diary, travel arrangements and expense claims; taking and circulating concise notes at RD-led meetings; managing stationery, equipment and logistics for the team; and decorating our office area in line with team requests and feedback. Enhance team well-being, cohesion and productivity through organising team meetings and Strategy Day.
  3. Work with colleagues to plan and coordinate logistics for senior visit programmes to ensure VIPs are in the right place at the right time, generating maximum impact when they meet Government, academic and industry leaders. Maintain and refresh a log of visit locations in India and the UK for senior visits, and lead on delivering a log of lessons learned for visits and events on a quarterly basis.
  4. Lead the delivery of our team’s internal communications including through creation of a forward look grid, quarterly regional briefings and impact reports and other creative products to promote and align SINT’s work across the India Network and Whitehall.

There is real opportunity in this role to boost the UK and India’s science and innovation partnerships on the global stage and to work with a wide range of international and domestic partners across Government and industry. We are a supportive, diverse and flexible team, with an exciting and evolving programme of work, so there will be opportunities to get involved in / lead on additional work in the wider team related to other sectors and / or activities.

Resources managed (staff and expenditure):

You’ll oversee the team’s programme and budget of around £2 million.

Language requirements:

Language: English

Level of language required:  Excellent command over the English language, both oral and written.

Working patterns:

We spend 80% of our time in the office. We can exercise a small degree of flexibility on daily working patterns for those with caring responsibilities.

The job may require some travel in-country and to the UK.

Essential on arrival:

  • Bachelor’s degree.
  • Minimum two years of work experience in budget and/ or office management.
  • Proven interest/experience in science, innovation, tech and or/ health matters.
  • Confident with IT solutions, including MS Office with strong proficiency in Excel.
  • Excellent interpersonal skills.
  • Strong drafting and writing skills.
  • Excellent attention to detail, creativity and planning skills.
  • The ability to deliver results under pressure.
  • The ability to work quickly and reliably with attention to detail and with limited supervision

Desirable:     

  • A programme/budget management or communications related qualification;
  • Experience of working in an international organisation or Government, and/or with science/research/ tech organisations in the UK or India.
  • Communications and science/tech programme management experience, working with multiple stakeholders including businesses, incubators, government and academics to deliver projects/ programmes.
  • Experience in information or knowledge management

For British High Commission candidates, the Country Based Staff BHC Terms & Conditions will apply.

For other than BHC Candidates, salary will be all-inclusive of INR 53,642 per month Plus 12% Provident Fund and 6% Superannuation.

Additionally, the BHC offers a great benefits package that includes annual domiciliary medical cover, plus a Group Hospitalisation Scheme with INR 500,000 floater cover for your immediate family.

No relocation or any other related costs or assistance will be provided.

Please note – BHC does not deduct tax at source and employees are required to ensure that any requirements of local income-tax law are complied with in full. Employees who are not liable to pay local income tax on their Mission salary, e.g., some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
