Main purpose of job:
To provide strategic operational and leadership support to the UKVI South & Southeast Asia Regional Manager, overseeing the financial management and operational effectiveness of the region. Responsible for the daily operational management of a significant budget of £0.6 million and the oversight of the staff count database for 250 personnel. This role involves managing regional returns and collaborating closely with the regional management team to align operational activities with business objectives, providing strategic advice on budgetary matters and operational efficiency.
Roles and responsibilities / what will the jobholder be expected to achieve?
Operational Leadership and Planning: (40%)
- Monitor staffing levels and workforce allocation. Conducting regular assessments to identify staffing gaps or excesses and recommend adjustments to ensure levels align with strategic objectives.
- Develop and implement monthly budget forecasts for a budget of £0.6 million, incorporating seasonal fluctuations and resource requirements, to inform decision-making.
- Manage and maintain accurate records of UKVI staff in the region, overseeing the headcount database and coordinating workforce planning initiatives.
- Coordinate quarterly reporting for the region, ensuring timely and accurate submission of reports to relevant stakeholders.
- Oversee the management and updating of UKVI SASEA’s historical staffing spreadsheet.
- To Support and cover for Regional Operations manager (SEO) when needed.
- To directly Line Manage 2 B3 Business Support Officers
- Act as a backup for Regional Operations Managers and attend Senior Leadership Team meetings
Strategic and Financial Management: (30%)
- Monitor staffing levels and workforce allocation. Conducting regular assessments to identify staffing gaps or excesses and recommend adjustments to ensure levels align with strategic objectives.
- Strategically manage the daily financial operations of UKVI’s South & Southeast Asia region by conducting thorough analysis, monitoring spending patterns, and evaluating financial performance.
- Prepare and analyse comprehensive Management Information reports for region, providing insights into financial trends and performance indicators.
- Conduct in-depth analysis of regional spend against budget allocations, monitoring spending patterns, and evaluating financial performance.
- Oversee the Procure-to-Pay (P2P) process to ensure adherence to financial protocols, maintaining clear audit trails for all transactions and expenditures.
Stakeholder Engagement and Communication: (20%)
- Build and maintain a comprehensive contacts database of relevant stakeholders, including partner organizations, government entities, and international agencies, to foster collaboration and knowledge sharing.
- Foster effective communication and collaboration within the UKVI team and the regional management team to address queries and resolve issues.
- Liaise with Office Managers on a regular basis to identify operational gaps and streamline processes to enhance efficiency.
- Collaborate with regional management team to understand their strategic requirements and align operational activities accordingly.
- Summarise key budget-related findings and observations in monthly review meetings, providing actionable insights to inform decision-making.
Customer Focus: (10%)
- Ensure all management information data and advice shared with regional management are accurate and tailored to meet their specific needs.
- Provide timely responses to queries related to budget codes, spends, variances, etc., maintaining a high level of customer service.
Resources managed (staff and expenditure):
- To directly Line Manage 2 B3 Business Support Officers
- Non Pay budget of £600k

Language: English
Level of language required: Fluent written and spoken.
Learning and development opportunities (and any specific training courses to be completed):
- In house training and mentoring will be given

Working patterns:

- Demonstrated proficiency in IT and administrative tasks, with advanced skills in MS Office applications, particularly spreadsheets.

For British High Commission candidates, the Country Based Staff BHC Terms & Conditions will apply.
For other than BHC Candidates, salary will be all-inclusive of INR 121,533 month plus 12% Provident Fund and 6% Superannuation.
Additionally, the BHC offers a great benefits package that includes annual domiciliary medical cover, plus a Group Hospitalisation Scheme with INR 500,000 floater cover for your immediate family which includes self, spouse/partner and children up to an age of 23 years and irrespective of age, only if with, physical or mental disability.
Please note – Provident Fund Transfer in and out from EPFO is not possible as BHC PF is managed by a private PF trust governed by Indian Income Tax Act, 1961. The staff still has the option to transfer out and in from a privately held PF trust which are not governed by EPFO.
No relocation or any other related costs or assistance will be provided.
Please note – BHC does not deduct tax at source and employees are required to ensure that any requirements of local income-tax law are complied with in full. Employees who are not liable to pay local income tax on their Mission salary, e.g., some non-local national staff and some spouses or partners of UK diplomatic staff, will have their salaries abated by an equivalent amount.
