The British Embassy in Berlin is part of a world-wide network representing British political, economic and consular interests overseas. It is also part of the UK’s Germany Network (including Consulate-Generals in Dusseldorf and Munich). We are looking for a Residence Manager to lead the team at the British Ambassador’s Residence in Berlin-Grunewald, who deliver our official events at the Residence and at our Embassy in Berlin-Mitte.

The Residence supports the work of the Network in Germany in furthering UK government interests and policy objectives, building and maintaining a network of senior and influential contacts and showcasing the UK. It is used to host a wide range of events for senior German politicians, businesspeople, cultural leaders and others, delivering in a wide range of formats from small dinners to the annual King’s Birthday Party reception with hundreds of guests. It also provides accommodation for official visitors.  

The Residence Manager has overall responsibility for ensuring that the Residence is well-maintained and that the events and services provided to the Ambassador’s guests and visitors, both at the Residence and at the British Embassy in Berlin-Mitte, are delivered to the highest possible standard. The successful candidate will lead and supervise a small but highly capable team of Residence Staff and work closely with the Ambassador and with other Embassy colleagues, including the Private Office, security, and estates management teams. This is a rewarding position that requires excellent interpersonal and organisational skills, proactivity, great teamwork and strong customer focus.

The role will require flexible working, based on a 40-hour week. We offer flexible working patterns subject to agreement and business needs. Due to the nature of the role, there will be a requirement for evening and weekend work around events and visits, with the Residence Manager able to work flexible hours around these events. Additional hours will be agreed upon according to the Embassy’s Terms and Conditions of Service.

Roles and responsibilities:

The core of the role is to ensure the smooth running of the Residence both as a venue for official events (meals, receptions, meetings, etc.) and as a family home, delivering to the highest standards of efficiency, sustainability, accuracy and value for money. There are three main areas of responsibility: 

1) Events: To plan for, prepare and oversee the use of the Residence for official entertainment, meetings with the Ambassador and accommodation of official senior visitors, in coordination with the Ambassador’s Diary/Social Secretary including:

  • Liaising with the Ambassador, their Diary/Social Secretary and relevant Embassy colleagues to agree plans for official entertainment taking place at the Ambassador’s Residence as well as at the British Embassy. This includes but is not limited to, controlling guest lists and issuing invitations, planning table and flower arrangements, hiring equipment, and hiring casual event staff, who work under the Residence Manager’s supervision including set-up, event service and post-event clear up and cleaning;

  • Coordinating arrangements for all official visitors staying at the Residence, ensuring that rooms are prepared for overnight guests and the highest levels of service are provided, and that all visitors receive a warm welcome and are made to feel comfortable and at home; 

  • Preparing quotes and invoices for events;

  • Preparing budget forecasting for the Ambassador’s business hospitality and representational funds alongside the Diary/Social Secretary.

2) Staff: To lead, supervise and line-manage a team of four Residence Staff (Head Chef, Butler & two Housekeepers), as well as casual staff when required, including:

  • Day-to-day supervision and management of the Residence staff in the preparation of the Ambassador’s Residence for functions and overnight guests;

  • Leading, motivating and empowering the team, setting direction and promoting best practice. Providing support and direction to the team as necessary. Ensuring that Residence staff receive adequate and regular training to undertake their duties;

  • Managing staff performance and completing annual appraisals on time and to prescribed standards;

  • Ensuring effective deployment of staff resources, clear forward planning and flexible delivery in line with operational requirements.

3) Residence: To work closely with the Estates Manager in their maintenance of the Residence as an effective and presentable representational facility including:         

  • Reviewing furnishing, decoration and equipment requirements with the Estates Manager and the Estates Team;

  • With the Estates Manager, ensuring that the inventory is kept up to date;

  • Ensuring the Residence and grounds are kept in optimal repair. Identifying and reporting repair/improvement work;

  • Ensuring the highest standards of cleanliness, hygiene and presentation at all times; 

  • Liaising with the security guards and security team to ensure effective security of the Residence and grounds is maintained at all times. 

  • Keeping the Ambassador fully informed of developments affecting the running of the house.

The Residence Manager will be expected to undertake other duties that may reasonably be required and which are in accordance with the grading and core competencies of the job. 

  • Fluency at C1 level in English and German (written and spoken, minimum of C1 level for CEFR framework)

  • Experience in running and working in a diplomatic residence, luxury hotel setting or a similar medium/large operation, with experience in event management and with a strong customer focus;

  • Proven people management skills and able to effectively prioritise, with a proven ability to work under pressure with limited supervision and to make decisions when appropriate in line with steers from the Ambassador and the Ambassador’s Diary/Social Secretary;

  • A proactive self-starter who is able to delegate as appropriate to their team to deliver projects effectively;

  • Excellent interpersonal and organisational skills. Able to collaborate effectively, supportively and respectfully with colleagues, both individually and in teams;

  • Ability and desire to demonstrate high standards and a strong attention to detail;

  • Has a high standard of personal presentation and is able to act with discretion at all times;

  • Flexibility in terms of working hours and duties – the jobholder should be prepared to work evenings and occasional weekends in support of events hosted by the Ambassador and Embassy;

  • Strong IT skills, proficiency in MS Office and internet applications.

  • A thorough knowledge and understanding of protocol issues would be extremely advantageous. The Residence receives high-profile political and business personalities, and occasionally members of the UK Royal Family.
