The British Embassy in Paris is part of a worldwide network, representing British political, economic and consular interests overseas. It is also part of the UK’s France Network including offices in Lyon, Bordeaux and Marseille and representation to international organisations in Paris (OECD and UNESCO) and Strasbourg (CoE).

The British Embassy in Paris is looking to appoint a Residence Support Officer. Reporting directly to the Residence Manager, the Residence Support Officer provides administrative support to all 4 Residence teams: pantry, kitchen, housekeeping and events, as well as to the Residence Manager. Approximately 550 events are held at the Ambassador’s Residence each year, entertaining a total of 18,000 guests. The successful candidate will have a key role in ensuring that Residence events and visits run smoothly and efficiently, whilst thriving in a fast-paced working environment where attention to detail and excellent communication skills are essential.  

Roles and responsibilities:

  • Assist the Events team as required with the delivery of successful events.
  • Manage a busy and often-changing Residence calendar, keeping all records and team members updated accordingly. 
  • Assist the Events team with managing a database of contacts.
  • Preparing monthly reports for verification by the Residence Manager.
  • Accounts reconciliation, payments, generating invoices and other basic financial functions.
  • Office administration tasks including file management, handling correspondence, ordering stationary, updating event’s database and Teams channel. 
  • Take responsibility for the houseguest programme through effective communication with Private Office, Security and Residence Teams. 

  • Excellent level of English and French is essential (both oral and written) at a C1 Level or equivalent according to CEFR*.

  • Outstanding interpersonal skills and diplomacy with the ability to liaise with staff at all levels of seniority, partners and suppliers.

  • Excellent organisational, time management and communication skills.

  • Attention to detail and ability to take initiative to lead tasks, whilst prioritising workload.

  • Ability to forward plan and coordinate activity among a range of stakeholders.

  • Proficient in all MS Office applications with excellent Excel and Outlook skills.

  • Working within a fast-paced administration or similar role. 

  • Experience collaborating in large teams or on projects.

  • Managing and controlling financial transactions and/or basic bookkeeping skills.

  • Working within an international environment or with multicultural teams.

This is a full-time 35hrs per week, permanent position based at the British Embassy, in Paris, France. The successful candidate may be required to work flexibly on occasion, in line with operational requirements. The post is a high profile post, which means that there are often competing high priority tasks. The ideal candidate should therefore have the ability to work efficiently within a high-pressure environment.
