Main purpose of job:
To deliver high-quality information, analysis, and knowledge management that enhances the Defence Section’s operational effectiveness, continuity, and engagement planning. To strengthen the Defence Section’s effectiveness by providing targeted information support, structured analysis, and robust knowledge and records management. The jobholder will deliver high‑quality background research, RFI triage, alumni and stakeholder data stewardship, and maintain the team’s corporate memory and information systems. The role ensures continuity, efficiency, and accuracy across visits, engagements, defence diplomacy initiatives, and internal workflows.

Roles and responsibilities / what will the jobholder be expected to achieve: Working to the Defence Attaché and the Deputy Defence Attaché, the Information & Strategic Support Officer is responsible for: Provide targeted research and briefing support for visits, engagements, and defence diplomacy activity. Conduct focused background research and produce concise briefs, bios, fact sheets, and situational updates to support high‑level visits, protocol events, and wider defence diplomacy tasks. Maintain up‑to‑date reference material that enables officers to prepare quickly and effectively. Maintain alumni and stakeholder databases and produce relevant profiles. Update and curate accurate records of defence alumni and key external stakeholders, ensuring information is reliable and accessible. Prepare tailored profiles, background notes, and summaries ahead of engagements to support strategic relationship management. Manage digital filing systems, templates, and the Section’s corporate memory archive Organise and maintain structured digital filing systems, standard document templates, and shared information repositories. Capture and Catalogue historical engagement records, lessons learned, key contacts, and recurring commitments to ensure continuity and preserve institutional knowledge. Triage RFIs, maintain trackers, and provide initial research notes Log, assess, and route Requests for Information to the correct officers while monitoring deadlines and priorities. Maintain an RFI tracker and draft short initial research notes to support accurate and timely responses. Support media coordination and produce periodic newsletters Work with the Mission’s media/PA team to support media requirements for defence activities. Lead on preparing and producing periodic newsletters to keep partners, alumni, and stakeholders informed of Section activity and key developments Act as MOU administrative lead and support surge activity during peak periods Oversee administrative management of Defence MOUs, ensuring accurate records, version control, action tracking, and accessibility for officers. Provide surge support during major visits and high‑tempo periods by preparing foundational materials and maintaining workflow continuity. Playing a full role in the life of the Embassy By leading corporate initiatives and contributing to our crisis response preparations. |
