Main purpose of job:

The main purpose of the job is to provide a safe and courteous transport service and other administrative support work for the British Consulate General in Ho Chi Minh City. 

Roles and responsibilities / what will the jobholder be expected to achieve?:

Core duties include, but are not limited to:

Transportation (50%)

  • Provide a flexible driving service (that requires overtime for early and late work, weekend work, and travel to provinces in Vietnam) to the British Consulate General’s staff, visiting officials and guests. 
  • Self-manage the British Consulate General’s car booking diary on outlook.
  • Rotate driving in shifts on a weekly basis.
  • Ensure the office vehicles are in good working order, and are repaired/serviced when necessary (Daily check of the vehicle e.g.: tyre pressures, hydraulic fluid, oil, radiator, and battery level)
  • Keep the office vehicles clean and serviceable at all times.
  • Report any defects and assist to ensure their resolution.
  • Keep an accurate record of all journeys.
  • Ensure the safety and security of the office vehicles and passengers in your care.
  • Provide support during trips, including planning routes, arranging visits and assisting with visiting teams as required.
  • Fill up the office vehicles with petrol when needed to ensure they are always ready for use.
  • Ensure the number of passengers carried does not exceed the number insured.
  • Conduct daily checks of the office cars as per the inspection check list to ensure safety and security for the cars all the time.
  • Have the office cars technically inspected before circulation licenses expire.
  • Deliver official mails, invites

Vehicle administration (10%)

  • Manage and monitor the office petrol budget.
  • Manage and monitor the office vehicles maintenance budget

Others (40%)

  • Arrange and handle necessary documentation for office or UK-based officers’ cars clearance, or UK-based officers’ driving licences.
  • Arrange and handle necessary documentation for tarmac access permits.
  • Arrange and handle necessary documentation for clearing British Consulate General’s post.
  • Support UK-based officers in unaccompanied air freight and heavy baggage arrangements including preparation of paperwork and working with logistics companies.
  • Support the British Consulate General with logistics and other work, e.g., scanning invoices, photocopying, shredding, faxing and portering when required.
  • Other admin tasks requested by the line manager to meet the business need

Resources managed (staff and expenditure): 

Staff: None.
Vehicle budget: £8,000

  • Possess a clean police record and a full clean valid driving licence for B2
  • Minimum of 5 years driving experience
  • Meet health requirement as per the local regulation. Driver Health Certificate within the recent 6 months as per Circular 24/2015/TTLT-BYT-BGTVT must be presented after the job is offered.
  • Able to communicate effectively in English, in person, on the phone and in writing.
  • Good knowledge of the roads and location of government offices in Ho Chi Minh City and main roads to other parts of the country.
  • Good driver customer service protocols and proactive organisational skills.
  • Working knowledge of mechanical skills needed to maintain vehicles in a roadworthy condition
  • Good command of Word/Excel

  • Fluent in Vietnamese (written and spoken)
  • Formal training as an official driver.
  • Experience in driving for international organizations and VIPs.
  • Ability to use Microsoft 365 tools

This role is advertised as a full-time, fixed-term of 12 months with possibility of renewal to be based in Ho Chi Minh City.
