Context:
Under the overall supervision of the Displacement Tracking Matrix (DTM) Programme Coordinator, and the direct supervision of the Area Coordinator (DTM), the Field & IM Assistant is responsible for the following functions:
Core Functions / Responsibilities:
- Assist in maintaining data collected from IOM programmes for entry in the system and ensure all datasets/reports are up to dates.
- Serve as focal point in the data processing unit in verifying and encoding data received from the field offices.
- Follow up with program DTM Enumerators deployed in the field offices to ensure regular updates of DTM data
- Respond to Area Focal Coordinator inquiries and information request in a timely manner
- Review, log and route incoming correspondence and set up/maintain files and records.
- If necessary, translate information and document from Arabic or vice versa.
- Maintain and improve the filing system, ensuring optimal organization and efficiency
- Provide guidance and training to new onboard and junior staff ensuing seamless integration into the team
- Maintain and ensure the confidentiality and integrity of all relevant paperwork in line with standards of conduct and data protection rules
- Perform any other duties as may be required
Required Qualifications and Experience
Education
- Secondary School or Diploma, desirable to have university degree or an equivalent combination of relevant training and field experience highly desirable.
Experience
- Minimum experience of 2 years in related field.
- Personal commitment, efficiency, flexibility, and drive for results
- Ability to work harmoniously with colleagues from varied cultures and professional backgrounds
- Strong computer background including experience with relational databases and Microsoft applications such as Excel, PowerPoint, Word, and Outlook.
Skills
- Clearly communicates and streamlines information from field to sub-office to Head Office.
- Deal with Smart phone and gadgets.
- Very good knowledge in MS package, specifically Excel spreadsheets.
- Demonstrated ability to implement and understand data collection methodologies.
Languages
Fluency in English and Arabic is required (oral and written).
