The Volunteer Coordinator in Phoenix is responsible for collaborating with IRC staff to determine volunteer, intern needs. The Volunteer Coordinator will recruit, screen, train volunteers and interns; provide on-going support and guidance; liaise with programs to assess their needs; and manage volunteer information in a central database system. This position will also assist the Development Supervisor to ensure proper tracking and reporting of volunteer and intern hours.

Major Responsibilities:

Internship Coordination

• Ensure the IRC maintains an active, effective, professionally managed intern program.

• Liaise with program managers and other staff members on intern opportunities for their respective programs.

• Ensure assignment descriptions align with staff and client needs and are consistently formatted and posted.

• Organize three recruitment cycles (fall, spring, summer) and manage office-wide application and interview process.

• Oversee onboarding and exit process for all interns. This includes processing background checks, setting up and closing IRC accounts, leading general orientation and onboarding sessions, and managing other situations as needed

• Maintain relationships with all universities and community colleges in the area.

Volunteer Coordination

• Coordinate with staff to determine volunteer needs and post requests.

• Conduct outreach activities to attract new volunteers; recruit and interview candidates.

• Conduct regular information sessions for potential volunteers

• Conduct orientation sessions, training, and ongoing supervision for all accepted volunteers.

• Maintain regular communication and act as a liaison between IRC staff and volunteers.

• Maintain volunteer files; enter notes and records in database; manage timesheets and timesheet entries each month.

• Maintain individual files on all interns and volunteers, record and report all intern/volunteer time, and keep accurate electronic records. Coordinate with colleague(s) to ensure volunteer processing and documentation is tracked.

• Solicit opportunities to speak publicly about the work of IRC and actively recruit community involvement.

• Actively participate in the Volunteer Coordination Community of Practice.

• Conduct recognition events for volunteers and interns as part of a robust recognition and retention program.

• Actively participate in and recruit volunteers for IRC events as needed.

Outreach and Training

• Represent IRC at local meetings, seminars, forums, and other community outreach opportunities as needed.

• Conduct outreach, networking activities, and other advertising to recruit and educate potential donors, interns, volunteers, and partners as needed.

• Organize and lead info session webinars to provide an overview to potential volunteers of all current volunteer opportunities.

• Update and develop standard operating procedures to manage intern and volunteer lifecycle.

Position Reports to: Development Supervisor in Phoenix

Position directly supervises: N/A

Indirect Reporting: Development Director in Arizona

Other Internal and/or external contacts:

Internal: Development Director in Arizona, Phoenix Leadership team members

External: Community agencies, faith-based groups, corporate partners and community groups

Job Requirements

Work Experience: 3 years of related professional experience ideal.

Demonstrated Skills and Competencies

• Well organized with attention to detail.

• Ability to prioritize and to juggle multiple tasks simultaneously in a fast-paced environment.

• Proven ability to contribute both independently and as a key team member.

• Proficient in Microsoft Office applications (Word, Excel, Outlook)

• Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.

• Ability to work effectively in a multi-cultural setting.

• Self-direction and initiative, when needed, to take the lead and to follow through to completion.

**Education:**Bachelor’s degree from an accredited university or college preferred.

Language Skills: Fluent in English, both spoken and written.

Working Environment

• Combination of remote and onsite work in a standard office environment. As the transition away from virtual, remote work evolves, full time onsite will be required. Some evening and weekend hours will be required.

• Must have a valid driver’s license and access to insured, personal vehicle. Position will require using own transportation within service delivery area. Mileage reimbursement available.
