Workforce Management Scheduler Coordinator (Time & Attendance Coordinator)

Job Summary:

Under general supervision, performs a wide variety of time administration and payroll impacting activities, including an understanding of time system impacts to regular and overtime payments. Processes time and attendance for regular payroll cycle processing and historical adjustments in the timekeeping and attendance software per policy. Assists supervisors and employees with troubleshooting employee scheduling needs in UKG Pro Scheduling.  Ensures new hires and terminations are processed accurately in the time system. Respond to employee time and attendance & advance scheduling inquiries by evaluating and/or escalating questions to leadership as needed. 

Job Duties: 

1.     Responsible for accurate and timely processing of employee time and scheduling records in timekeeping and attendance software. Responsible for maintenance and audits of HR data to ensure accuracy.

2.     Ensures transactions are processed in compliance with internal policies and procedures, as well as government agency regulations.

3.     Process time submittals and historical adjustments within the timekeeping and attendance software.

4.     Participate in projects and/or process improvements as it relates to streamlining processes within Kronos. Participates in testing of new features and configuration changes. Collaborates with Payroll to streamline processing and integrations between time and payroll.

5.     Coordinates with managers and other time approvers to ensure timely approvals.

6.     Maintains and supports a variety of reports/queries using appropriate reporting tools. Works with departments and leadership on tailoring specific reports needed for the workforce.

7.     Train employees and supervisors on Kronos system usage related to scheduling and time tracking.

8.     Provide support and assistance to managers and employees with scheduling inquiries or issues.

9.     Supports new users by providing assistance using the timekeeping and attendance software.

10.   Provides support to users on functionality and assists in resolving technical issues, password resets, data capture, and report creation.

11.   Tracks and responds to employee inquiries regarding work and non-work hours submitted through timekeeping and attendance software that impact an employee’s pay.

12.   Oversees prior state service tracking and record keeping. This includes working with outside state agencies in gathering prior state service time and leave balances. Participates in state auditor audits as it relates to state service time.

13.   Supports communication as needed for changes to deadlines due to holidays or other site operations that may impact deadlines.

14.   Performs other duties as assigned.

Education:

High school diploma or equivalent required.

Associate or Bachelors degree preferred.

Experience:

Three (3) years of related time and attendance and advanced scheduling experience are required. Payroll knowledge is preferred.

Kronos, UKG, Advanced Scheduling, and Peoplesoft software experience preferred.
