BACKGROUND The mission of the Doris Duke Foundation (DDF) is to build a more creative, equitable and sustainable future by investing in artists and the performing arts, environmental conservation, medical research, child well-being and greater mutual understanding among diverse communities. DDF operates five national grantmaking programs as well as Duke Farms and Shangri La, two centers that serve the public directly. DDF’s activities are guided by the will of Doris Duke, who endowed the foundation with financial assets that currently total over $2 billion. POSITION The Doris Duke Foundation seeks a special assistant to the chief program officer (CPO) to work closely with the CPO to ensure smooth, efficient and effective operations of DDF’s program team in service of the foundation’s strategy that shapes funding priorities and programmatic direction. Responsibilities encompass two main areas, special project management and administrative support for the CPO. RESPONSIBILITIES Key Project Management Responsibilities Work with the CPO to implement strategies that promote connection, learning opportunities, coordination and collaboration among DDF’s grantmaking programs and centers. Identify and implement strategies and best practices in promoting cross-program/team collaborations. Research and advance best practices in grantmaking and suggest strategies, workshops or learning opportunities to share with the grantmaking programs. Identify and support coordination among common priorities and themes of the grantmaking programs. Support relationship building across DDF’s grantmaking programs, operational teams (e.g., grants management, communications, investments) and centers. Act as an informal lead and coordinator for program associates. Suggest and carry out opportunities to streamline internal grantmaking and other relevant processes. Provide project management for CPO special projects (i.e., those either outside of DDF’s primary grantmaking areas or that span the institution). Provide curatorial and managerial support for program-driven Doris Duke Center events. Partner with the CPO to achieve sound administration of the CPO’s priorities, including budget planning as well as management and resource allocation. Primary Administrative Duties Complete a broad variety of administrative tasks for the CPO. Compose and prepare correspondence. Manage schedule and calendar, itineraries, agendas and meeting logistics. Prioritize incoming issues, including those of a sensitive or confidential nature. Handle matters expeditiously, proactively and with follow-through. Conduct research. Compile, develop and design materials (PowerPoint decks, spreadsheets, etc.). Arrange detailed business travel. Organize and maintain files. Order supplies. Prepare expense reports and take notes. Liaise with vendors. Provide administrative support for select program events, including CPO-driven convenings. QUALIFICATIONS Bachelor’s degree. Project management experience that includes supporting C-level executive. Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint), Adobe Acrobat, project management and productivity software, and social media platforms. Strong organizational and project management skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Demonstrated interpersonal skills and the ability to build relationships with stakeholders. Demonstrated proactive approaches to problem-solving with strong decision-making capability. Strong, interpersonal, oral and written communication skills. Highly resourceful team player also able to be extremely effective independently. COMPENSATION AND BENEFITS Anticipated salary range is $69,000-$87,000, and the final offer will depend on experience. Industry-leading benefits.
