The British Embassy Amman has a vacancy for a Security Administration Assistant, job grade Administrative Assistant (AA).
Main Purpose of the Job:
The jobholder will manage / administer the security office and assets in supporting the Corporate Services Assistant (CSA) and Post Security Manager (PSM) in their day-to-day operations and the Embassy holistically and provide an interface for the security office with internal and external customers.
The jobholder will provide translation to the CSA for official paperwork and at external meetings and complete the necessary audits and maintain operational communications equipment. Also, the jobholder will maintain the Security Teams site and keep all files and information within up to date and provide support for both high profile visits and visitors to the Embassy.
The jobholder will also provide support for both high profile visits and visitors to the Embassy and manage the security store and equipment.
Roles and responsibilities
- Liaise closely with the Post Security Manager ensuring all the His Majesty’s Ambassador (HMA)’s movements are safeguarded and providing outreach clerical work.
- Manage the Security assets of the Embassy, including security crisis equipment, body armour, helmets and misc.
- Manage the Embassy communication equipment and issue of radios, both handheld and / or main base-stations.
- Provide a professional interface with the public, e.g. visitors, deliveries and enquiries, contractors, guests for events.
- Ensure all communications equipment are tested regularly and in good working order. Addressing any problems through either the CSA or Regional Technical Support Staff (RTSS).
- Liaise with internal and external security partners to ensure appropriate security correspondence are managed properly.
- Prepare detailed pre-visit reports of all venues and log them in the Teams shared security area.
- Prepare and ensure Note Verbal (NV) requests for support from the local security authorities are logged in a timely manner.
- Assist the CSA and PSM managing security arrangements for all VIP, Minister and VVIP trips.
- Manage the daily & weekly security reports, including the contracted guards daily work shifts, daily visitors form and daily security briefing notification.
- Act as the security point of contact for His Majesty’s Government (HMG) visitors ensuring the prepared security package is sent out to these HMG visitors.
- Liaise with Transport section for booking of vehicles for the security team.
- Assist the CSA and PSM at all larger Embassy events with the relevant security arrangements with the local security authorities.
- Ensure full compliance with Embassy Post Security Regulations (PSRs).
- Managing & completing regular audits on security cleared contractors list, security banned contractors list, security cleared personnel and transport lists.
- Provide translation from English to Arabic and Arabic to English for the CSA.
- Maintain the security teams shared MS Teams site.
- Provide other relevant security duties as requested by the CSA and / or PSM in support of the Embassy.
The above list is not exhaustive, and the jobholder will be required to be flexible as specific responsibilities could change in the future, and this would be at the discretion of the line manager/ senior management and agreed with the jobholder. The job description may be reviewed to meet changes in business needs. The jobholder may also take on other ad hoc tasks as required.

Qualifications, skills, and experience:
- Fluent English & Arabic language (oral & written).
- Previous administrative security experience.
- Relevant IT experience including MS Office (Word, Excel & PowerPoint).
- Excellent organisational skills.
- Ability to work unsupervised.
- Flexibility & ability to maintain professionalism under pressure.
- Be available to work out of hours / weekends when required.

Working hours and remuneration:
The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of JOD 958 per month based on 37 hours per week.
Salary will be paid in gross, and you are expected to comply with your tax obligations through completion of a tax return to the local authorities. If exceptionally you are not liable to pay Jordanian tax, you will receive a net salary, which is minus the deduction of an equivalent level of local tax. Further information on this will be provided at interview if necessary.
This role is for a full-time employment on a permanent contract. The successful candidate will be subject to a 6 month probationary period. The appointment is subject to satisfactory local and UK security clearances. The selected candidate must have the right to live and work in Jordan.
Normal working hours at the Embassy are Sundays to Wednesdays from 08:00-15:30 and Thursdays from 08:00-15:00. Hours of work vary for this role according to operational requirements in agreement with the line manager, and in line with FCDO and Embassy policies. The jobholder should be flexible in their approach to hours worked as these will also be dictated by operational needs and may involve working out of hours (evenings/ weekends).
