The Estate Intern will support the Corporate Services Section, with a primary focus on estate operations and administrative functions. The role sits within a small, multi-functional team responsible for managing the Embassy’s estate portfolio, including residential properties and office facilities, as well as overseeing maintenance works and FMR-funded projects.
The jobholder will work closely with the Estate Manager and Corporate Services colleagues and engage with both internal stakeholders and external service providers (e.g., contractors, maintenance teams). The role will involve providing administrative support, assisting with estate-related activities, and helping to ensure continuity of operations across multiple sites.
The position will contribute to the effective delivery of estate management and corporate services objectives by improving administrative processes, supporting project monitoring, and enhancing coordination across locations. It will also help mitigate capacity constraints within a small team, particularly during periods of high workload or staff absence.
The role aligns with wider FCDO objectives by supporting efficient resource management, operational resilience, and value for money, while contributing to the overall effectiveness and wellbeing of the Embassy.
The intern will benefit from structured learning and development opportunities, including exposure to estate management, corporate services operations, and project coordination. During their tenure, the intern may also have the opportunity to rotate across different Corporate Services functions and, where appropriate, other Embassy sections, gaining broader institutional experience. On-the-job guidance and support will be provided by the Estate officer and head of corporate service.
The intern will provide integrated estate, technical, and administrative support to the Corporate Services Section, structured as follows:
1. Facilities Management Support (40%)
- Assist in monitoring and managing Embassy office, residences, and associated facilities
- Support the updating and maintenance of estates databases (asset registers, inventories, plans)
- Support coordination and tracking of estate maintenance activities (preventive and corrective)
- Conduct routine property inspections and follow up on identified issues
- Ensure accurate tracking of estate-related tasks, timelines, and follow-ups
- Provide backup support to estate operations as required
2. Maintenance and Technical Support (20%)
- Assist in overseeing ongoing estate projects, including FMR-funded works
- Assist in tracking preventive and corrective maintenance activities
- Monitor contractor performance against timelines and quality standards
- Support the logging and follow-up of technical issues (electrical, plumbing, HVAC, etc.)
- Help bridge on-site coordination gaps where the Estate Manager cannot be physically present
3. Contractor and Supplier Coordination (15%)
- Support coordination with external contractors and service providers
- Assist in preparing and tracking service delivery
4. Health, Safety, and Compliance (10%)
- Support Health, Safety, and Environment (HSE) standards
- Participate in basic safety inspections and compliance checks
- Promote awareness of safety procedures and good maintenance practices
5. Administrative Support (10%)
- Provide general administrative support to the Corporate Services Section
- Assist in preparing Estates reports (monthly, quarterly)
- Support compliance checks and documentation management
6. Wider Embassy Support (5%)
- Contribute to the overall wellbeing and effectiveness of the Embassy
- Participate in internal committees and team initiatives where appropriate
