About Aid Gate Organization “AGO”

Aid Gate Organization (AGO) is an independent, nonpartisan, national organization in Iraq whose history goes back to 2014 with the beginning of ISIL’s occupation in Iraq. At that time and throughout the mass conflicts occurring from 2014 onwards, ISIL groups took control of large swathes of the country, including Nineveh, Salah al-Din, Anbar, and parts of Diyala. This period witnessed an unprecedented wave of displacement for people who lived in these areas in addition to extreme human rights violations. With the Iraqi government, unable to provide much-needed, widespread assistance, many international organizations entered the country to facilitate a response. In doing so, local community members were actively recruited to assist in the movement and return of displaced peoples, while providing them with emergency life-saving assistance to meet their basic needs. Since 2014, AGO has been working untiringly to help Internally Displaced Persons (IDPs), returnees, and vulnerable host communities for the implementation of whole-of-community resilience-building measures in Iraq. Today AGO is functional in Salah al-Din, Kirkuk, and the Nineveh governorates, with 50–150 employees, depending on the situation in the region. We are currently working on expanding our operations into the Anbar governorate as well as southern Iraq through proven programs to rebuild the lives of men, women, children, and refugees IDPs, minorities, ethnic groups and persons with disabilities.

JOB DESCRIPTION

The Admin & Compliance Reporting Manager is responsible for ensuring effective administrative operations, compliance with international accounting standards, and regulatory reporting. This role includes overseeing the application of finance policies, managing administrative functions, and ensuring all operations align with the AGO’s compliance and reporting requirements. The Manager will collaborate across departments to maintain accurate reporting, safeguard financial controls, and ensure adherence to internal and external audit requirements.

MAIN RESPONSIBILITIES

Administration Management:

  1. Manage daily administrative operations, including procurement, office maintenance, and asset management.
  2. Develop and implement administrative policies that streamline internal processes.
  3. Supervise administrative staff and coordinate cross- functional support.
  4. Oversee facilities, IT, and logistics to meet AGO needs.
  5. Maintain accurate administrative records and documentation, ensuring compliance with internal policies.

Compliance & Reporting Management:

  1. Ensure compliance with local, international, and institutional donor regulations, in accordance with the AGO Finance Policy.
  2. Prepare and submit compliance reports related to finance and operations, aligning with international accounting standards.
  3. Coordinate internal and external audits, ensuring financial integrity and prompt resolution of any audit findings.
  4. Oversee the implementation of compliance frameworks, monitoring financial controls such as the two-signature rule for bank activities and regular bank reconciliations.
  5. Maintain the AGO’s accounting system using QuickBooks for financial records, ensuring alignment with procedures for ledger management, month/year-end closing, and audit readiness.
  6. Ensure timely and accurate financial reporting in compliance with accounting principles recognized by international standards.

Financial Oversight:

  1. Support the finance team by ensuring financial controls are in place and adhered to, in line with AGO’s Finance Policy.
  2. Facilitate transparent financial record-keeping and reporting using established systems and tools such as QuickBooks.
  3. Collaborate with the finance department to ensure proper execution of audits and bank reconciliations, maintaining accountability.
  4. Review and maintain adherence to institutional donor requirements for financial documentation and reporting.

Qualifications & Preferred Skills

Key Competencies:

  1. Strong leadership and team management skills.
  2. Expertise in compliance, audit management, and financial reporting.
  3. Proficiency in administrative management and financial control systems.
  4. Deep understanding of international accounting standards and donor regulations.
  5. Excellent communication and problem-solving skills.
  6. Ability to handle sensitive and confidential information with integrity.

 

Qualifications:

  1. Bachelor’s degree in Business Administration, Finance, or a related field.
  2. Minimum of 5 years of experience in administration, finance, or compliance management.
  3. Proficiency in financial software (QuickBooks) and Microsoft Office Suite (Excel, Word, PowerPoint).
  4. Strong understanding of local and international compliance requirements.
  5. Experience with financial audits and institutional donor reporting is an advantage.
