Under the supervision and guidance of the Operations Officer, the Administrative Assistant is responsible for executing a broad variety of routine tasks for the respective unit requiring full knowledge of UNICEF administrative procedures, processes and policies.

The socio-economic and political crisis in Venezuela has further deteriorated since 2015 and led to growing humanitarian needs.

UNICEF is one of the UN agencies with the largest operational footprint in Venezuela. As part of the UN Venezuela Scale-Up Strategy, UNICEF has revised its Country Programme Document with a Scale-up Plan which is expanding the scope and reach of its cooperation to address emerging needs of children and women, downstream including enhancing strategies, field presence and service delivery activities.

In Venezuela, the Operations function is a strategic Business Partner role, assuring the best use of UNICEF assets in alignment with sound management practices, office priorities and goals to deliver results for children.

How can you make a difference? 

  1. Effective administrative management, providing support to ensure efficient operation of the office, supporting the staff through a variety of tasks related with the operations of the premises.

Monitor the premises to ensure that it remains safe, secure, and well-maintained.

Notify management of occurring deficiencies or needs for repairs

Make adjustments and minor repairs

Troubleshoot issues with AC system, lighting and indoor climate control as necessary

Ensure meeting rooms are maintained and fully equipped

  1. Stationery and cleaning products inventory

Maintain stationery and cleaning products inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

  1. Other administrative support.

Carry out administrative duties such as small purchases, filing, typing, copying, binding, scanning etc.

Coordinate repairs to office equipment and premises.

Undertake any other duties assigned by the supervisor.

Minimum requirements:

  • Education: Completion of secondary education.
  • Work Experience: At least one (1) year of progressive experience in clerical, operations or administrative work. 
  • Skills Familiarity with Microsoft Office applications is required.
  • Language Requirements: Fluency in Spanish and basic working knowledge of English is required

Should you be selected for a position with UNICEF, you either must be inoculated as required or receive a medical exemption from the relevant department of the UN. Otherwise, the selection will be canceled.

As per Article 101, paragraph 3, of the Charter of the United Nations, the paramount consideration in the employment of the staff is the necessity of securing the highest standards of efficiency, competence, and integrity.

Government employees who are considered for employment with UNICEF are normally required to resign from their government positions before taking up an assignment with UNICEF. UNICEF reserves the right to withdraw an offer of appointment, without compensation, if a visa or medical clearance is not obtained, or necessary inoculation requirements are not met, within a reasonable period for any reason.
