Purpose
The Resource Mobilization Division (REM) manages the institutional relationship between ICRC and its various donors. A strategy for ICRC Resource Mobilisation 2020-2030 aims to guide fundraising efforts at the ICRC and establishes five strategic orientations that seek to address challenges identified today and prepare fundraising at the ICRC in the future. In this context, a large number of projects have started, impacting not only our systems but also processes, roles and responsibilities and ways of working, which require follow-up and coordination. The Strategy Office is the REM unit that leads and manages the ICRC’s Resource Mobilization Strategy development and its implementation. As part of that unit and within the Portfolio Management team, the associate will act as “Project Management Officer” (PMO) on different ongoing projects and will support project & and change management activities. The associate’s profile and interest will be considered for the allocation of activities.
Relationships
The associate will mainly interact with the Portfolio Management team (Portfolio manager, Project managers, Change officers…).The associate may also be required to manage autonomously specific projects for the division and interact independently with dedicated stakeholders within REM and possibly more broadly within ICRC. In parallel, the associate will be part of a pool of associates and will occasionally have the opportunity to work on activities with other units within REM (Ex. Donor events).
Accountabilities & Functional responsibilities
Depending on projects’ maturity and phase, the associate will participate in the following activities. For certain projects, (s)he could directly act as project manager and ensure project delivery from initiation to closure phase.
Portfolio management activities:
▪ Centralize needs, prioritize requests as per division’s objectives and priorities
▪ Help monitoring and reporting efforts of our project portfolio (status, timelines, % of completion, …)
▪ Keep an updated version of our Portfolio roadmap
▪ Support the preparation of the team’s meetings and activities (agenda, presentations, gathering and consolidating input from project managers…)
Project management activities
▪ Participate to project scoping and definition, as well as preparation of project charters where relevant ICRC Name of Delegation Delegation – Job description 2
▪ Design project management plan, with identified deliverables, schedule, time and required resources
▪ On a regular basis, organize project status meeting together with project managers to identify potential problems and monitor project progress
▪ Prepare meetings’ presentations and write minutes of meetings for decision / action follow-up
▪ Complete project indicators and update project monitoring dashboards
▪ When needed, close projects by ensuring all activities have been delivered, create project closure report and participate to lessons learned exercises
Project delivery activities
▪ Co-organize / facilitate / participate to workshops
▪ Participate to the delivery of certain deliverables together with project managers (ex. data consolidation, data analysis, process mapping…) or automously for individual projects
Change management :
▪ Participate to change management activities (prepare communication plan and / or material, deliver communication, trainings, …)
▪ Support the teams with the adoption of new ways of working
Profile
▪ Generalist profile (Master in Business Administration, Political Sciences, Economics, Engineering or Marketing / Communication)
▪ Strongly motivated by humanitarian work
▪ Good analytical skills with capacities to summarize information or data
▪ Result-oriented
▪ Autonomous (ability to work independently)
▪ Multi-tasking (ability to coordinate different projects – tasks in parallel)
▪ Out-of-box thinking
▪ Team player
▪ English – Working language
▪ Good knowledge of Excel / Power Point required
Professional Experience required
Minimum 1 year of professional experience (internship & volunteering work included) as business analyst or project officer
First experience in at least one of the following areas
▪ Strategy or Management consulting (ex. benchmark, data analysis, workshop facilitation, process design…)
▪ Project management in a context of business transformation ideally (ex. project scoping, delivery or monitoring)
▪ Marketing or Communication (ex. trend analysis, content production, presentations…)
Exposure to international or multicultural organizations is a strong asset
General Duties
▪ Understands and adheres to the seven Fundamental Principles of the International Red Cross and Red Crescent Movement
▪ Understands and adheres to the ICRC Code of Conduct
▪ Understands the roles of the components of the International Red Cross and Red Crescent Movement
▪ Respects and observes staff regulations and security rules at all times
▪ Represents the ICRC in a professional manner at all times
▪ Develops and maintains a pleasant and conducive working environment with colleagues and line managers
▪ Performs all duties with the highest level of confidentiality in the interest of the employees and the ICRC
▪ May be asked to perform tasks not covered in this job description and to provide support to other departments when necessary

• Location: Geneva
• Type of contract: Traineeship – 12 months duration
