As a Finance and Admin Manager, you will be instrumental in overseeing the financial operations and administrative functions at DFS while leading a small team. You will manage and optimize key operational processes, ensuring compliance with accounting standards and donor regulations. In addition to managing staff, your role will involve performing bookkeeping tasks, preparing financial reports, and supporting cash-flow management. Additionally, you will supervise HR processes, contribute to project budgeting, and assist in developing internal policies and guidelines. By collaborating with various teams, you will help drive the organization’s mission forward while maintaining financial integrity and operational efficiency.
Roles and Responsibilities:
- Manage, optimize, document, and implement key operational and financial processes and systems for a growing nonprofit organization.
- Perform and oversee bookkeeping staff and functions such as accounts receivable and payable, payroll, and bank reconciliations, following an accrual basis.
- Prepare annual 990 submission, financial reports and manage external audit processes with an accounting firm and grantors.
- Create and track project budgets, including managing projections and expenditures in close coordination with project teams.
- Support cash-flow management, including follow-ups for aging receivables.
- Serve as the point of contact for financial compliance, audit, and organizational due diligence questions.
- Prepare monthly and periodic financial reports and forecasts for management and the Board of Directors.
- Create and review project compliance processes following donor regulations and/or contract terms.
- Assist in updating employee/contractor policies and internal operations guidelines and manuals, ensuring they are properly enacted.
- Support project administration by drafting reports, compiling presentations, and assisting with operational issues.
- Supervise all HR processes, including recruitment, contracts, invoices, and onboarding for independent contractors and staff.
- Work through DFS operational systems such as Monday, Slack, G-Suite, and time and expense tracking systems.
- Perform other administrative tasks and support as needed, consistent with any startup environment.

What we are looking for in you:
- A minimum of 5 years of experience in finance, bookkeeping, and nonprofit management. Previous staff management experience a plus.
- Ability to work remotely and during CET and EST timezones.
- Strong knowledge of accounting principles and practices.
- Proven experience in HR processes and compliance.
- Excellent organizational and project management skills.
- Proficiency with operational systems and financial software.
- Strong communication skills and ability to work collaboratively in a team environment.
Language: Fluent in written and spoken English.
Contract Duration: 12 months initially with the possibility of extension
Start Date: December 1st, 2024
LOE: 100%
Salary: USD 5,000 per month
