Main purpose of job:
The British Embassy Bangkok is a large diplomatic mission of around 150 staff delivering a dynamic and rapidly expanding programme of activity in support of the UK’s objectives including on prosperity, trade, security, open societies, consular services and law enforcement. This is an exciting opportunity to join our diverse team.
You will join the Department for Business and Trade (DBT) Thailand team which promotes exports to Thailand of British goods and services, investment from Thailand to the UK, and mutual improved market access to help grow our bilateral trade.
Finance and Admin Assistant provides comprehensive administrative and financial support to the team by assisting with procurement processes, preparing budget forecasts, and ensuring smooth logistical operations.
Roles and responsibilities / what will the jobholder be expected to achieve?:
Procurement Support
- Assist the team with end-to-end procurement activities including sourcing suppliers, obtaining quotes, raising requisitions, and tracking orders
- Liaise with suppliers and internal stakeholders to resolve queries and issues
- Maintain accurate records and files related to procurement processes
Budget Forecasting
- Collect and compile budget spending plan from team members to prepare monthly budget forecasts and reports as per guidelines
- Monitor team’s budget spending and report status to DBT Thailand Deputy Country Director
Administrative & Logistical Support
- Coordinate seamless logistical arrangements for meetings, events, and visits
- Book meeting rooms, arrange transport, and manage catering requirements
- Maintain inventory of office equipment and stationery; procure replacements as needed
- Provide general administrative support including drafting correspondence, filing, and photocopying or as assigned
Other
In times of peak operation demand, work flexibly within the Section and within the Embassy.
All staff will be expected to make a corporate contribution to the smooth running of the British Embassy, either through a committee membership or another voluntary role.

Working patterns:
This is a full time role – 36 hours/week, Monday to Friday.
We are currently operating a hybrid working pattern with at least 60% of the time being spent in the office.
The Embassy has a smarter working policy and is committed to offering flexible working patterns balanced with the operational requirements of the role. In crisis/emergency situations you may need to work as required to support the Embassy response, sometimes on a shift pattern, which may result in unsociable hours and/or weekend working.
