Main Purpose of Job:
The UK’s dialogue partnership with ASEAN is advancing, and the UK Mission to ASEAN is looking for an organised, suitably qualified and professional Personal Assistant with excellent prioritisation and time management skills.
The job holder will manage the Ambassador’s diary, travel, accommodation, and daily transport programmes, organise meetings with internal and external partners, act as a first point of contact by responding, passing on messages or highlighting them for the Ambassador’s or the team’s attention, and collate and file expenses of the Ambassador’s travel and Mission’s procurements.
The job holder will manage the Ambassador’s residence, including by organising events and conferences, implementing and maintaining procedures/administrative systems, liaising with fellow staff and suppliers. They will also provide administrative support to colleagues across the Mission, including managing databases and filing systems.
The successful candidate will be flexible and proactive in planning ahead; mindful to follow up with relevant colleagues; active in looking for roles in addressing wider corporate contribution; and possess an ability to establish excellent collaborative working relationships.

What the Jobholder will be Expected to Achieve:
Personal Assistant (40%):
- Full secretarial and administrative support to the Ambassador, e.g., diary management, draft routine letters, set-up meetings, secure events and travel programmes and documents including visas. In the Ambassador’s absence, to provide such support to the Chargé d’affaires.
- Support the management of the Ambassador’s budget, including making bookings and payments for Ambassador’s event catering, travel accommodation, and transport; and eventually reporting them on internal systems
- Build and maintain good relations with key government officials e.g. PA of ASEAN Stakeholders and other Ambassadors PAs
- Manage inward-outward documents/invites and maintain a digital activity log e.g. when received, actioned etc; manage Mission-wide inbox and ensure emails are flagged to relevant teams
- Welcome visitors and ensure they receive a polite, professional and efficient service
- Ensure a clear handover when absent from the office
Cross Mission Support (30%):
- Put a process in place for bidding for the Ambassador’s time, coordinate with relevant teams across the Mission to ensure the Ambassador has timely access to briefings, speeches, and programme agenda
- Provide Mission-level secretarial support; maintain databases of Mission contacts for events such as the King’s Birthday Party and other receptions; issue Mission-level letters and Notes Verbale; maintain a well-stocked stationery cupboard and stock of official gifts
- Liaise on VIP visits to the ASEAN Mission, connecting with others across British Diplomatic Missions and externals to ensure smooth planning and running of visits
- Ensure regular UKMIS SLT meetings and UKMIS Board meetings are appropriately in the diary
Residence Manager (20%):
- Manage the property and inventory of the Ambassador’s official Residence. Coordinate with the Corporate Services Team (CST) and contractors for residence maintenance work to ensure all areas remain fit for purpose
- Work closely with the Ambassador to ensure the official Residence’a needs are met in a timely manner. This will include for example, sending invites, logging RSVPs ensuring appropriate meal plans and official Residence equipment are in place
- Oversee the management of events hosted at the official Residence, including food and beverage stocks, lunch and dinner menus, set-up of equipment, and tracking and managing event costs. This will include working closely with Mission staff leading on specific events and liaison with security staff.
Corporate Contribution (10%):
- Make a wider contribution to the corporate running of the Mission.

The British Embassy Jakarta offers a competitive remuneration package including:

Working Patterns:
Normal working hours are 39.5 (gross) per week: 07:30hrs to 16:00hrs from Monday to Thursday and 07:30hrs to 13:00hrs. At present, all staff working in the FCDO, Jakarta are expected to attend the office for three days per week, subject to change. Subject to operational demands and line manager approval, the team operates a ‘core hours’ policy of 09:00 to 15:00 with individual flexibility around that and two days of work from home per week on request.
No accommodation or relocation expenses are payable in connection with this position. All candidates must be legally able to work and reside in Indonesia with the correct visa/work permit status or demonstrate eligibility to obtain the relevant permit. Any costs related to obtaining or renewing permits and visas are the responsibility of the successful applicant.
Employment offers are subject to successful clearance of pre-employment checks. Staff recruited locally by the British Embassy Jakarta is subject to Terms and Conditions of Service according to local employment law. In relation to this, the successful candidate will need to arrange for his/her own Police Certificate. Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.
Hiring managers should be available to discuss proposed working patterns with potential candidates, and respond positively where possible, in line with the flexible working policy.
The FCDO also operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
