Main Purpose of Job:
The UK’s dialogue partnership with ASEAN is advancing, and the UK Mission to ASEAN is looking for an organised, suitably qualified and professional Personal Assistant with excellent prioritisation and time management skills.
The job holder will manage the Ambassador’s diary, travel, accommodation, and daily transport programmes, organise meetings with internal and external partners, act as a first point of contact by responding, passing on messages or highlighting them for the Ambassador’s or the team’s attention, and collate and file expenses of the Ambassador’s travel and Mission’s procurements.
The job holder will manage the Ambassador’s residence, including by organising events and conferences, implementing and maintaining procedures/administrative systems, liaising with fellow staff and suppliers. They will also provide administrative support to colleagues across the Mission, including managing databases and filing systems.
The successful candidate will be flexible and proactive in planning ahead; mindful to follow up with relevant colleagues; active in looking for roles in addressing wider corporate contribution; and possess an ability to establish excellent collaborative working relationships.

The British Embassy Jakarta offers a competitive remuneration package including:
Working Patterns:
Normal working hours are 39.5 (gross) per week: 07:30hrs to 16:00hrs from Monday to Thursday and 07:30hrs to 13:00hrs. At present, all staff working in the FCDO, Jakarta are expected to attend the office for three days per week, subject to change. Subject to operational demands and line manager approval, the team operates a ‘core hours’ policy of 09:00 to 15:00 with individual flexibility around that and two days of work from home per week on request.
No accommodation or relocation expenses are payable in connection with this position. All candidates must be legally able to work and reside in Indonesia with the correct visa/work permit status or demonstrate eligibility to obtain the relevant permit. Any costs related to obtaining or renewing permits and visas are the responsibility of the successful applicant.
Employment offers are subject to successful clearance of pre-employment checks. Staff recruited locally by the British Embassy Jakarta is subject to Terms and Conditions of Service according to local employment law. In relation to this, the successful candidate will need to arrange for his/her own Police Certificate. Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.
Hiring managers should be available to discuss proposed working patterns with potential candidates, and respond positively where possible, in line with the flexible working policy.
The FCDO also operates an agile workforce. To facilitate this, you may be required to undertake other duties from time to time as we may reasonably require.
Learning and Development Opportunities:
The Embassy has an active L&D Committee which works hard to provide a comprehensive offer. There are a wide range of options available for personal development including training courses, coaching and mentoring, job-shadowing, presentations and learning. Staff have access to a wide variety of online resources through the Diplomatic Academy and Civil Service Learning and are encouraged to innovate and upskill with MS CoPilot and FCDO-approved AI tools to improve quality of work. Staff are strongly encouraged to take advantage of all the available opportunities. All new staff undertake a workplace induction and there are a number of mandatory e-learning courses covering areas such as diversity, health and safety, and information management.
Flexible learning and development depending on appetite and interest, particularly in the areas of nature and sustainable environment management; and management of aid-funded programmes. Learning and development can be both “on the job” – being able to work with and experience an aid-funded climate and environment portfolio, and climate and environment diplomacy – as well as formal training.
