In this role, you will be part of a dynamic international environment spanning the British Government’s extensive network across the United States and the United Kingdom, which includes the Embassy in Washington, the UK Mission to the United Nations, multiple Consulates, and other Government Offices—comprising over 900 staff and supporting the work of approximately 30 UK government departments and agencies.
The Maintenance Manager in the Estates Team, leads on the planning, implementing and supervising of all maintenance work for the owned and leased property portfolio for all diplomatic staff at our New York post. You will manage contacts with existing stakeholders, manage the maintenance budget and line manage the Mover and Maintenance Team (MMT). You will work under the supervision of the Facilities Manager, and assist the Facilities Manager in continuously improving the post’s Maintenance Policy and Strategy. You will contribute to strengthening UK-US collaboration in by supporting our people through our commitment to high level Corporate Services. Positioned within The Estates Team you will work closely with internal stakeholders such as diplomats and team mates at all grades and external partners including vendors, landlords, and technicians.
We’re looking for a resourceful, dedicated team player, a professional with experience in maintenance, general construction, and management. You’ll bring strong communication, organisation and leadership skills and a commitment to high quality and timely work.
Roles and responsibilities:
- Manage the maintenance of the property portfolio.
- Manage 3 Maintenance Staff (MMT) – scheduling, meetings, reviews, and payroll management.
- Purchasing and Invoicing.
- Meet with and select vendors, contractors, landlords, building management/super, concierge staff, company staff and their dependents in person at site visits and vendor offices.
- Travel to sites for inspections and maintenance.
- Cover for staff leave on MMT.
- Document and report on projects to Line Manager on daily, weekly, quarterly basis as needed.
- Lead on renovation projects.
- Project Management.
- Responsible and Accountable Budget Management in cooperation with the procurement team/finance.
- Effectively liaise with other Estates Team members and departments within the wider organisation.
Resources managed (staff and expenditure):
- Mover and Maintenance Team consisting of three people.
- $450k maintenance budget.

Essential on arrival:
- Experience of working in a fast-paced building maintenance or service environment (or related field).
- Ability to prioritize, effectively manage and execute multiple tasks under tight deadlines.
- Knowledge of local building codes and previous training Health and Safety standards (OSHA).
- Budget/Resource and staff/ line management experience.
- Creative and innovative problem-solving skills.
- Ability to communicate with vendors, contractors, landlords, building management/super, concierge staff, company staff and their dependents in person at site visits and vendor offices.
- Ability to lift occasionally 35lb in weight; climb stairs, ladders, bend, or reach, in line with general maintenance related activity.
- Ability to move between several job sites per day by walking or using public transport.
- Strong team player who can work flexibly based on the changing needs of the team and business, including coverage for resilience on MMT.
- Strong office skills and the ability to effectively use Microsoft Office Suite especially Outlook, Excel and Word and CoPilot AI.
- Clear and confident communicator, with the ability to work with stakeholders at all levels of the organization.
- Holds one of the following passports: UK, US, Canada, Australia, New Zealand.

Core Hours/Hybrid Working
While many jobs in the US Network are able to offer flexibility in terms of working hours, core business hours are 09:30 to 15:00 (in the local time zone) Monday through Friday.
Employees will be expected to work from office full-time during the first 90 days of employment. After this time employees may work from home no more than 40% of the working week, subject to operational needs.

Working Patterns:
Site visits and office presence are expected for this position and may occur at times outside of the core hours in order to accommodate residents and vendors at our properties.

Unique Tax Rules
Please note that the tax arrangements imposed by the US on staff working for foreign governments, as well as those imposed by the UK Treasury on British and dual nationals working for the UK Government overseas, are atypical. The UK Government cannot withhold taxes (including FICA) on behalf of a US taxpayer. Instead, a US taxpayer is required to file taxes as if they are self-employed, and a FICA allowance is granted for those required to pay the employer contribution. Certain categories of staff (for example dual UK-US nationals and some visa holders) who work at Consulates General are not subject to US taxes. For those not subject to US taxes the UK Government reduces gross pay to a level broadly equivalent to taxed net pay. There are also social security implications for dual UK-US nationals. Please keep all this in mind when looking at the salary and the benefits package.
