Residence Coordinator

Main purpose of job:

Residence Manager leads the Ambassador’s Residence Team.  The British Ambassador’s Residence is one of Seoul’s most prestigious venues and has a high reputation for quality and service excellence. The Residence Manager should be strongly customer focused and possess excellent inter-personal and organisational skills. He/she reports directly to HMA or Executive Assistant to HMA. Main responsibilities include:

  • The Residence buildings, garden, furniture and equipment are properly maintained to the highest possible standard and that the services they provide to the Ambassador’s guests and visitors serve as a showcase for British excellence.
  • Delivery of the full spectrum of Embassy events inside or outside the Residence, in partnership with relevant Embassy teams or UK partners.
  • Efficient and quality control work at the Residence Office, supervising outsourced or contracted staff.

Roles and responsibilities / what will the jobholder be expected to achieve:

1. Residence Management – 30%

  • Ensure the efficient planning and management of the Residence’s forward programme of events, maintenance and improvement where required.
  • With the Embassy Corporate Services team and contractors, ensure the building, gardens, amenities are maintained to the highest standard. Ensure furniture, technology, equipment and linens are safeguarded, accounted for and maintained.
  • Work with the Corporate Services Procurement to ensure value for money in all Residence expenditure. Seek opportunity for savings. Ensure that all procurement and stock control is carried out in accordance with FCDO procedure and HMA’s requirements.
  • In liaison with JLL/Corporate Services, ensure that there is a rolling programme of maintenance works. Ensure at all times that there are contingencies in place at Residence (e.g. generator working and water supplies) should utility providers fail.
  • Responsible for monitoring and control of Residence inventories and assets (eg. Silverware and wine).

2. Events and Visits Management – 30%

  • In liaison with HMA and Executive Assistant of HMA, maintain a calendar of visitors and events, ensuring the Residence plans in advance.
  • Lead events delivery including set-ups, execution and breakdown of all functions held at the Residence, supervising service throughout.
  • Work closely with organisations, companies and sponsors for revenue generation; providing detailed cost estimates and seeking best value supplies and contractors; managing invitations and extra staff; quality assurance on the day of an event.
  • Prepare Residence for VIP visitors.
  • Maintain providers for goods and services; identify reliable and value for money providers, and build up good relationships.

3. Staff Management – 20%

  • Line Manager for Head Chef (AO), Residence Coordinator (S2), Residence Logistics Coordinator(S1), Hospitality Assistant (S3).
  • Engage and supervise any temporary staff contracted for events and/or specific works such as serving, cleaning, maintenance, remodelling, etc.
  • For all events and functions held at the Residence, ensure all team staff understand roles and tasking, setting and delivery of objectives, deadlines are met, and appropriate training is considered and undertaken.
  • Ensure all outsourced employees are properly inducted. Quality control and be accountable for all work undertaken in the Residence.

4. Finance – 10%

  • Ensure Residence cash box is properly maintained and that funds are properly accounted for.
  • Process corporate expenses in a timely manner, meeting all relevant deadlines.

5. Communication/Coordination – 10%

  • Ensure that issues relating to the Residence are properly communicated to HMA, and/or HMA’s spouse when relevant.
  • Act with professionalism, respecting the dual-use of the Residence as a work space and family home, maintaining proper confidentiality of matters arising in the Residence.
  • Ensure good visitor/events feedback confirming positive customer experience.

  • Income Generation Fund, Residence Staff (s)

  • Proficient in English and Korean
  • Event planning
  • Budget management;
  • Staff management, including casual employees;
  • Must have the legal status to live and work in Republic of Korea.

  • Experience of working in diplomatic environment

Working patterns:

Mon-Thu from 09:00-17:15 & Fri from 09:00-17:00. 

Job requires frequent out of hours work (evenings and occasionally weekends).  All staff are compensated by time off in lieu of the additional hours worked.
