Provide administrative, clerical, and coordination support for project implementation, including data compilation, documentation drafting, budget monitoring, and meeting organization. Ensure smooth operational processes by liaising with internal and external stakeholders, managing records, and responding to general inquiries.
1. Provide general/clerical assistance in the implementation of project activities.
2. Retrieve, compile, summarize, and present information/data on specific project topics.
3. Assist in monitoring budget and updating budget related information.
4. Support administrative coordination for project implementation, involving liaison with diverse organizational units or external parties to initiate requests, obtain necessary clearances, process, and follow-up on administrative actions.
5. Draft status reports, correspondence, briefing notes, graphics, statistical tables, presentations,
6. and other forms of documentation.
7. Support the organization of meetings, workshops and training sessions.
8. Respond to general information requests and inquiries; set up and maintain files/records.
9. Perform other related duties as assigned.
Education
Accredited Universities are those listed in the UNESCO World Higher Education Database.
Experience
Experience in liaising with governmental authorities, national/international institutions, United Nations agencies and non-governmental organizations;
Experience in working with migrants, refugees, internally displaced persons, victims of trafficking and other vulnerable groups; and,
Skills
Good computer skills, including Word, Excel, and Internet.
Strong interpersonal and communication skills.
Ability to thoroughly follow up on cases internally and externally.
General knowledge of basic administrative and logistical procedures in support of field activities.
Familiarity with information collection tools.
Knowledge or experience maintaining internal tracking tools.
Basic understanding of the local context and of humanitarian assistance principles under the Organization’s mandate.
Languages
For this position, fluency in Spanish is required (oral and written).
Oral and written fluency of beneficiary’s languages (English) is an advantage.
IOM’s official languages are English, French and Spanish.
Proficiency of language(s) required will be specifically evaluated during the selection process, which may include written and/or oral assessments.
